# Change InvoiceStamp's settings URL: https://docs.invoicestamp.com/account/app-settings Last updated: 2026-10-21 Open **Profile** and tap **Settings** (Appearance, notifications, billing & more). There you set the theme to **Light**, **Dark** or **Auto**, choose your notifications, pick the folder **Download PDF** saves to, manage your subscription, and delete your account. **Sign out** is at the bottom of the **Profile** tab. ## What's in Settings? ![The Profile tab with My Business, Clients & Products, Invoice Defaults, and Settings under General, then Sign out](https://docs.invoicestamp.com/screenshots/profile.webp) ![The Settings screen: Theme set to Light, Notification Preferences, Save Location, Subscription, Send a Ticket and Delete Account](https://docs.invoicestamp.com/screenshots/settings.webp) | Section | Setting | See | | --- | --- | --- | | Appearance | **Theme** | [below](https://docs.invoicestamp.com/account/app-settings#how-do-i-switch-to-dark-mode) | | Notifications | **Notification Preferences** | [Notifications and emails](https://docs.invoicestamp.com/account/notifications-and-emails) | | Storage | **Save Location** | [below](https://docs.invoicestamp.com/account/app-settings#where-are-downloaded-pdfs-saved) | | Account & Billing | **Subscription** | [Your subscription](https://docs.invoicestamp.com/account/your-subscription) | | Support | **Send a Ticket** | [Get help](https://docs.invoicestamp.com/account/get-help) | | Danger Zone | **Delete Account** | [Delete your account](https://docs.invoicestamp.com/account/delete-your-account) | At the bottom, **Terms of Service** and **Privacy Policy** open on invoicestamp.com, and the last line shows your app version, such as **InvoiceStamp v1.1.0**: include it when you contact support. ## How do I switch to dark mode? Under **Appearance**, tap **Dark** next to **Theme**. **Auto** follows your phone's own light or dark setting, and **Light** keeps the app light. The app starts on **Light**. The theme changes the app only: your documents and their PDFs look the same either way. ## Where are downloaded PDFs saved? When you tap **Download PDF** on a document, InvoiceStamp saves it to the folder set in **Save Location**. The default is **Default (Documents folder)**: on iPhone, it's **On My iPhone** › **InvoiceStamp** in the Files app; on Android, the phone's **Documents** folder. 1. Tap **Profile** → **Settings** → **Save Location**. 2. Tap **Choose Folder** and pick a folder: in Files on iPhone, such as one in iCloud Drive, or with Android's folder picker. The app confirms: Documents will now save to that folder. 3. To go back to the default, tap **Reset to Default**. ![Save Location set to Default (Documents folder), with a Choose Folder button and a note that sharing always uses a temporary file](https://docs.invoicestamp.com/screenshots/save-location.webp) Files are named after the document, such as **InvoiceStamp-INV-0001.pdf**. Downloading again never overwrites a file: the new one gets **(1)**, **(2)** and so on. Good to know: - **Share** doesn't use this folder: sharing always makes a temporary file. Save Location only changes where **Download PDF** writes. - If the folder you picked is moved or deleted, the app saves to the default folder instead and tells you: "Save folder is no longer accessible". Choose a new folder to fix it. - Save Location is set for each phone, and signing out resets it to the default. ## What does signing out clear? To sign out, tap **Sign out** at the bottom of the **Profile** tab, then **Sign Out**. Your documents, clients and products stay in your account, ready when you sign back in. Signing out does clear what's kept on this phone only: - the document open in the editor, if you hadn't saved it; - changes made offline that haven't synced yet; - your [Save Location](https://docs.invoicestamp.com/account/app-settings#where-are-downloaded-pdfs-saved) folder; - your [default currency](https://docs.invoicestamp.com/business-and-designs/default-currency), which goes back to US dollars. Save your work and reconnect before you sign out, and set your default currency again after you sign back in. ## Related guides - [Notifications and emails](https://docs.invoicestamp.com/account/notifications-and-emails) - [Share an invoice PDF](https://docs.invoicestamp.com/documents/share-an-invoice-pdf) # Delete your InvoiceStamp account URL: https://docs.invoicestamp.com/account/delete-your-account Last updated: 2026-10-21 To delete your account, open **Profile** → **Settings**, scroll to **Danger Zone** and tap **Delete Account**. Tap **Continue Deletion**, type **DELETE**, tap **Permanently Delete My Account**, then **Yes, delete everything**. Deletion can't be undone, and it doesn't cancel your subscription: cancel that first. ## What should I do before deleting? 1. **Download the documents you want to keep.** Once your account is gone, so is your access to your documents. Open each one in **Documents** and tap **Download PDF**: see [Share an invoice PDF](https://docs.invoicestamp.com/documents/share-an-invoice-pdf). Your country's rules may require you to keep invoices for several years. 2. **Cancel your subscription.** Deleting your account doesn't stop App Store or Google Play billing. Go to **Profile** → **Settings** → **Subscription** → **Manage subscription**, or cancel in the store. See [Your subscription](https://docs.invoicestamp.com/account/your-subscription#how-do-i-cancel). ## How do I delete my account? 1. Tap **Profile**, then **Settings**. Scroll down to **Danger Zone** and tap **Delete Account** (Permanently erase your account and all data). 2. Read **Before you continue**. **Open Documents** and **Manage subscription** take you to the two things above. Then tap **Continue Deletion**. 3. Type **DELETE** in capital letters. **Permanently Delete My Account** becomes available: tap it. 4. A last message asks you to confirm: **This is permanent**. Tap **Yes, delete everything**. ![Settings scrolled down to the Danger Zone, with Delete Account: Permanently erase your account and all data](https://docs.invoicestamp.com/screenshots/settings.webp) ![Delete Account warning, with Before you continue: download your PDFs, cancel your subscription, and data can't be recovered, then Continue Deletion](https://docs.invoicestamp.com/screenshots/delete-account.webp) ![Type DELETE to confirm, with a DELETE field and a Permanently Delete My Account button](https://docs.invoicestamp.com/screenshots/delete-account-confirm.webp) You're signed out and see **Account deleted**. InvoiceStamp also emails you to confirm the deletion. To stop at any point before the last step, tap **Cancel**. ## What is erased, and what is kept? As soon as you confirm: | Erased | | | --- | --- | | Your sign-in | Your email address and your Apple, Google or email login | | Your business profile | Name, address, contact details, tax IDs and logo | | Your signature and product images | The files you uploaded | | Your clients and products | Names and every detail | | Your documents' personal content | Notes, terms and references | | Your devices and notifications | Including your notification settings | | Kept, without your details | | | --- | --- | | The documents you issued | Their amounts, dates, numbers and [line items](https://docs.invoicestamp.com/glossary#line-item), as financial records, for as long as the law requires, then deleted | None of it can be restored to an account. ## Can I come back later? Yes, but not to the same account: deletion is final. Signing up again with the same email address or Apple or Google account creates a new, empty account. ## Related guides - [Your subscription](https://docs.invoicestamp.com/account/your-subscription) - [Get help](https://docs.invoicestamp.com/account/get-help) # Contact InvoiceStamp support URL: https://docs.invoicestamp.com/account/get-help Last updated: 2026-10-21 Email the InvoiceStamp team at [contact@invoicestamp.com](mailto:contact@invoicestamp.com), or use the [contact form on invoicestamp.com](https://invoicestamp.com/contact-us). Tell us your phone model, its iOS or Android version, the app version from the bottom of **Settings**, and what you were doing, with a screenshot if you can. ## What should I include? The more of these you send, the faster we can help: | Include | Where to find it | | --- | --- | | Your phone model and its iOS or Android version | On iPhone, **Settings** → **General** → **About**. On Android, **Settings** → **About phone** | | The InvoiceStamp version | The last line of **Profile** → **Settings**, such as **InvoiceStamp v1.1.0** | | The email address of your InvoiceStamp account | **Profile**, under your name | | The document number, if it's about a document | The top of the document, such as **INV-0001** | | What you did, what you expected, and what happened | In your own words | | The exact message on screen | A screenshot is best | For a question about billing, tell us whether you're on the monthly or yearly plan. Refunds are handled by the App Store or Google Play, wherever you subscribed: see [Your subscription](https://docs.invoicestamp.com/account/your-subscription#how-do-i-get-a-refund). ## Can I send a ticket from the app? Not yet. **Settings** → **Send a Ticket** lets you choose **Report a bug**, **Request a feature** or **Ask a question**, but in version 1.1.0 sending only shows "Support tickets are coming soon." and your message isn't sent. Email us instead, at [contact@invoicestamp.com](mailto:contact@invoicestamp.com). ![The Send a Ticket screen asking what it's about: Report a bug, Request a feature or Ask a question](https://docs.invoicestamp.com/screenshots/send-ticket.webp) ## Is there an answer here already? Notifications arrive on your phone and in the **Notifications** screen, opened from the bell on Home. Choose the kinds you get in **Profile** → **Settings** → **Notification Preferences**. Emails cover your account, your subscription and a few tips. ## Where do I see my notifications? Tap the bell at the top of the Home screen. A red number on it counts the ones you haven't read. The **Notifications** screen groups them under **Today**, **Yesterday**, **This week** and **Earlier**, newest first, and says how many are unread (or **All caught up**). | To | Do this | | --- | --- | | Open one | Tap it. It's marked read, and a notification about a document opens that document. | | Mark everything read | Tap **Mark read** at the top. | | Archive one | Swipe it left. Tap **Undo** within a few seconds if you didn't mean to. | | See the exact time | Touch and hold the time on a notification. | | Clear the whole list | Tap the trash icon, then **Clear all**. | ## What does InvoiceStamp notify me about? | Notification | When | | --- | --- | | **PDF ready**: "INV-0001 is ready to download." | A document's new PDF has finished. Tap it to open the document. | | **New sign-in detected** | Your account was signed in on another device, and your least recently used device was signed out (a subscription covers 3 devices at a time). | ## How do I choose what I'm notified about? 1. Tap **Profile** → **Settings** → **Notification Preferences** (Choose what you get notified about). 2. Under **Notify me about**, turn each kind on or off. ![Notification Preferences with Notifications are off and an Enable Notifications button, and switches for Security Alerts, Subscription, System and Marketing](https://docs.invoicestamp.com/screenshots/notification-preferences.webp) | Switch | Covers | Starts | | --- | --- | --- | | **Security Alerts** | Sign-ins, device changes & password resets | On | | **Subscription** | Billing, renewals & plan changes | On | | **System** | App updates & maintenance notices | On | | **Marketing** | Tips, offers & product news | Off | Turning a kind off stops both the phone notification and its entry in the **Notifications** screen. Notifications about your documents, such as **PDF ready**, have no switch and stay on. ## Why don't I get notifications on my phone? If your phone's notifications are off for InvoiceStamp, **Notification Preferences** shows **Notifications are off**. Tap **Enable Notifications** and allow them. If you declined before, your phone won't ask again: turn them on in its settings. On iPhone, **Settings** → **Notifications** → **InvoiceStamp** → **Allow Notifications**. On Android, **Settings** → **Apps** → **InvoiceStamp** → **Notifications**. ## Which emails does InvoiceStamp send? **About your account** - A link to confirm your email address, when you create an account with email. - A link to reset your password, after you tap **Forgot password?**. - **New sign-in to your InvoiceStamp account**, when a new device signs in. - **Your InvoiceStamp account has been deleted**, after you delete it. **About your subscription** - When your free trial or plan starts. - **Your free week ends on** a given date, two days before the trial ends. - When the trial turns into a paid plan. - **Your payment didn't go through**, when the App Store or Google Play reports a billing problem. - **Your plan ends on** a given date, after you cancel. - **Your InvoiceStamp plan has ended**, when it ends. **Tips** A few getting-started tips in your first days (making your first invoice, adding your logo), and an occasional reminder if you haven't opened the app for a week. Tips are never sent between 21:00 and 08:00 in your time zone, and never more than one a day. ## Can I stop the emails? - **Tips**: tap **Unsubscribe from tips** at the bottom of any tip email. - **Account and subscription emails** can't be turned off: they're about your account, your plan and your payments. ## Related guides - [App settings](https://docs.invoicestamp.com/account/app-settings) - [Your subscription](https://docs.invoicestamp.com/account/your-subscription) # Fix common problems in InvoiceStamp URL: https://docs.invoicestamp.com/account/troubleshooting Last updated: 2026-10-21 Most problems in InvoiceStamp come down to the connection, a PDF that's still being made, or a permission on your phone. Find the message you see below: each one says what it means and what to do. If yours isn't here, or the fix doesn't work, [contact support](https://docs.invoicestamp.com/account/get-help) with a screenshot. ## Why does the app say "You're Offline"? InvoiceStamp needs an internet connection: your documents, clients and PDFs are kept in your account, not only on the phone. When the connection drops, a **You're Offline** screen covers the app and shows **Waiting for connection…**. Turn on Wi-Fi or mobile data, or move to a better signal. The screen clears on its own as soon as you're back online; there's nothing to tap. ## What does "Saved to Queue" mean? You saved a document as the connection dropped. It's kept on your phone and will be saved to your account, and its PDF made, automatically when the network comes back. Tap **View in Queue** to see it in **Documents**, where it's marked **Queued**, or **Done** to carry on. Don't sign out while documents are queued: signing out clears changes that haven't synced yet. ## Why is my PDF taking so long? Making a PDF usually takes a few seconds. After about five, the dialog reads "Still rendering your PDF — this can take a moment…". If it takes too long, you'll see: > The PDF is taking too long to render. Your document is saved — try sharing again in a moment. Your document is safe. Wait a moment, then tap **Share** (or **Download PDF**) again. ## What if InvoiceStamp couldn't render the PDF? > We couldn't render this PDF. Try again, or switch to another design. Tap **Share** again first. If it fails again, open the **Design** card in the editor, pick another design, and try once more. If a design keeps failing on a document, [tell us](https://docs.invoicestamp.com/account/get-help) which design and document number. On the **View PDF** screen, the same problem shows as "PDF generation failed. Try again." or "Generation timed out. Try again.". ## Why did saving fail? **Failed to save document** usually means the connection dropped or the server didn't answer. Check your connection and tap **Save** again: your document is still in the editor. Two messages say more: | Message | What to do | | --- | --- | | This client was deleted. Choose a client again and try once more. | Tap **Your Client** and pick or create the client again. | | Our servers had a problem. Please try again in a moment. | Wait a minute and save again. | If **Save** or **Preview** looks dimmed, something required is missing. The line above the buttons says what, such as "Add client details to continue" or "Give item 2 a price to continue", and tapping the button scrolls to it. ## Why hasn't my verification email arrived? It can take a minute. Check your spam or junk folder, then tap **Resend email** on the **Check your inbox** screen (it's available again 60 seconds after each send). If the address is wrong, tap **Use a different email**. See [Sign in and passwords](https://docs.invoicestamp.com/getting-started/sign-in-and-passwords). ## Why was I signed out with "Signed out on this device"? Your subscription covers 3 devices at a time. Signing in on a fourth signs out the one used least recently. Tap **Sign in again** to use this device; that signs out another one. ## What do the update messages mean? - **Update available** is a banner with the new version number. Tap it to open the App Store or Google Play and update, or tap **✕** to hide it for a day. - A full screen with **Get the New Version** means this version of InvoiceStamp is no longer supported. Tap the button to update in the App Store or Google Play; the app closes once the store opens. ## Why does it say "Save folder is no longer accessible"? The folder you chose in **Save Location** was moved, renamed or deleted, the app lost access to it, or iCloud Drive isn't available. Your PDF was saved to the default folder instead: on iPhone, Files › **On My iPhone** › **InvoiceStamp**; on Android, the phone's **Documents** folder. Pick a folder again in **Profile** → **Settings** → **Save Location**. See [App settings](https://docs.invoicestamp.com/account/app-settings). ## Why can't I load a client from Contacts? **Contacts permission denied** means InvoiceStamp isn't allowed to read your contacts. On iPhone, open the **Settings** app → **Apps** → **InvoiceStamp** → **Contacts** and allow access; on iOS 17 and earlier, InvoiceStamp is listed directly in **Settings**. On Android, open **Settings** → **Apps** → **InvoiceStamp** → **Permissions** → **Contacts** and choose **Allow**. Then tap **Load from Contacts** again. ## Why does the plans screen open and not close? Your subscription has ended (or a payment failed and wasn't fixed), so InvoiceStamp shows the plans screen until you have an active plan. Your documents are still in your account. You can: - choose a plan; - tap **Restore purchases** if you subscribed before with this Apple ID or Google account; - sign out with the line under the button, if you're signed in with the wrong account. If you're sure your subscription is active, tap **Restore purchases** first. See [Your subscription](https://docs.invoicestamp.com/account/your-subscription). ## Still stuck? [Contact support](https://docs.invoicestamp.com/account/get-help) with your phone model, the app version from the bottom of **Settings**, and a screenshot of the message. # Manage your InvoiceStamp subscription URL: https://docs.invoicestamp.com/account/your-subscription Last updated: 2026-10-21 InvoiceStamp needs a subscription, billed monthly or yearly through the App Store on iPhone or Google Play on Android. New subscribers who are eligible get a 7-day free trial. Manage your plan in **Profile** → **Settings** → **Subscription**: switch between monthly and yearly, cancel or change your payment method. Refunds are handled by the store you subscribed through. ## Which plans are there? Two plans with the same features: **Monthly** and **Yearly**. The plans screen shows each price in your store country's currency, and how much the yearly plan saves you compared with paying monthly. Prices include your country's taxes where the store applies them. You choose a plan at the end of the first-run setup: tap **See plans**, pick one and confirm with the App Store or Google Play. See [Set up InvoiceStamp](https://docs.invoicestamp.com/getting-started/set-up-invoicestamp). ## How does the free trial work? - If you're eligible, the plans screen says "Both include 7 days free" and the button reads **Start my 7-day free trial**. - Nothing is charged during the trial. Two days before it ends, InvoiceStamp emails you a reminder with the date your plan starts. - When the trial ends, your plan starts and the store charges you, unless you cancelled before. - The trial is for new subscribers. If your Apple ID or Google account already had one, the plans screen shows the prices without a trial. ## How do I see or change my plan? 1. Tap **Profile** → **Settings**, then **Subscription** (Manage plan & history) under **Account & Billing**. 2. The screen says which plan you're on, for example **You're on the Monthly plan.** 3. Tap **Switch to yearly** (or **Switch to monthly**). A sheet compares your current and new price; confirm, then approve the change in the App Store or Google Play. ![The Subscription screen: You're on the Monthly plan, with Switch to yearly and Manage subscription, and No billing history](https://docs.invoicestamp.com/screenshots/subscription.webp) | Switching | When it takes effect | | --- | --- | | Monthly to yearly | Straight away. You're charged the prorated difference today and billed yearly from then on. | | Yearly to monthly | At the end of your current billing period. You keep the yearly plan until then, with no extra charge today. | **Billing history** lists your payments with their date, amount and status (Succeeded, Refunded, Failed or Expired). ## How do I cancel? 1. Tap **Profile** → **Settings** → **Subscription** → **Manage subscription** (Cancel or update payment in your device settings). 2. Cancel the subscription, or change your payment method. You can also cancel in the store: - **On iPhone**: open the **Settings** app, tap your name, then **Subscriptions**, then InvoiceStamp. - **On Android**: open the **Google Play** app, tap your profile picture, then **Payments & subscriptions** → **Subscriptions** → InvoiceStamp. After you cancel, you keep full access until the end of the period you've paid for, and InvoiceStamp emails you the date your plan ends. Cancelling during the trial means you won't be charged. ## What happens when my plan ends? When your subscription has ended, InvoiceStamp opens the plans screen whenever you use the app, and it can't be closed. Your documents, clients and products stay in your account. From that screen you can: - choose a plan to pick up where you left off; - tap **Restore purchases** if you subscribed with this Apple ID or Google account before (on another phone, for example); - tap **Sign out** in the line under the button that names your email, to switch accounts. If a payment fails, InvoiceStamp emails you ("Your payment didn't go through") so you can update your payment method in the App Store or Google Play. ## How do I get a refund? Refunds are handled by the store you subscribed through, not by InvoiceStamp: - **App Store**: request one at [reportaproblem.apple.com](https://reportaproblem.apple.com) with the Apple ID you subscribed with. - **Google Play**: follow Google's [refund steps](https://support.google.com/googleplay/answer/2479637) with the Google account you subscribed with. ## How many devices can I use? Up to 3 at a time, signed in to the same account. Signing in on a fourth signs out the one you used least recently. See [Sign in and passwords](https://docs.invoicestamp.com/getting-started/sign-in-and-passwords). > **Deleting your account doesn't cancel your subscription** > > The App Store or Google Play keeps billing until you cancel. Cancel first, then [delete your account](https://docs.invoicestamp.com/account/delete-your-account). ## Related guides - [Notifications and emails](https://docs.invoicestamp.com/account/notifications-and-emails) - [Troubleshooting](https://docs.invoicestamp.com/account/troubleshooting) # Get help from an AI assistant URL: https://docs.invoicestamp.com/ai-assistants Last updated: 2026-10-21 AI assistants can answer your InvoiceStamp questions from this help center. To ask about the page you're reading, tap **Ask AI** under its title and choose ChatGPT or Claude. To let your assistant search every guide, connect the help center to it as a connector at `https://docs.invoicestamp.com/mcp`. ## How do I ask an assistant about a guide? 1. Open the guide, then tap **Ask AI** under its title. 2. Choose **Ask ChatGPT about this page** or **Ask Claude about this page**. The assistant opens in a new tab with a message asking it to read the guide. 3. Send the message, then ask your question, such as *How do I record a payment of 50 dollars on INV-0004?* **Copy Markdown** copies the whole guide as text, to paste into any other assistant. **View as Markdown** shows that text. ## How do I connect the help center to Claude? Connected, Claude searches the guides itself whenever you ask about InvoiceStamp, without you opening a page first. 1. In Claude, open **Settings**, then **Connectors**. 2. Choose **Add custom connector**. Name it *InvoiceStamp Help* and paste this URL: `https://docs.invoicestamp.com/mcp`. There's nothing to sign in to. 3. In a chat, turn the connector on from the tools menu, then ask your question. On the Free plan, Claude allows one custom connector. On Team and Enterprise plans, an owner adds the connector for the organization first. ## How do I connect it to ChatGPT? ChatGPT adds connectors like this one in developer mode, on the plans where OpenAI offers it. 1. In ChatGPT, open **Settings** → **Apps & Connectors** → **Advanced settings** and turn on **Developer mode**. 2. Create a connector named *InvoiceStamp Help*, with the URL `https://docs.invoicestamp.com/mcp` and no authentication. 3. In a chat, choose the connector from the tools menu, then ask your question. > **If the menus look different** > > Assistants rename their settings often. Look in your assistant's help for "custom connector" or "MCP server": any assistant that connects to remote MCP servers can use the help center. ## What can the assistant see? Only this help center: the same public guides you read here. It can't see your InvoiceStamp account, your documents, clients or payments, and it can't change anything in the app. Assistants can still get things wrong. If an answer doesn't match what you see in the app, trust the app, and check the guide the assistant used: it names the page. For anything about your own account or subscription, [contact support](https://docs.invoicestamp.com/account/get-help). ## How do developers and AI tools use the help center? The help center follows the conventions AI tools look for: | What | Where | | --- | --- | | MCP server, with tools to search the guides, read one and list them all | `https://docs.invoicestamp.com/mcp` (Streamable HTTP, no authentication) | | The list of guides | [/llms.txt](https://docs.invoicestamp.com/llms.txt) | | Every guide in one file | [/llms-full.txt](https://docs.invoicestamp.com/llms-full.txt) | | One guide as Markdown | The guide's address followed by `/index.md` or `.md`, or the address itself with `Accept: text/markdown` | To add the server to Claude Code: ```bash claude mcp add --transport http invoicestamp-docs https://docs.invoicestamp.com/mcp ``` In tools that read an MCP configuration file, such as Cursor: ```json { "mcpServers": { "invoicestamp-docs": { "url": "https://docs.invoicestamp.com/mcp" } } } ``` ## Related guides - [Contact InvoiceStamp support](https://docs.invoicestamp.com/account/get-help) - [Glossary of invoicing terms](https://docs.invoicestamp.com/glossary) # Edit your business profile URL: https://docs.invoicestamp.com/business-and-designs/business-profile Last updated: 2026-10-21 Your business profile is who every document is **from**. Your business name, logo, address and country, email, phone, fax, website, tax ID and legal identifiers. Each design lays them out in its own way, so a design may leave a detail out: tap **Preview** in the editor to see exactly what your client will get. ## Do changes reach documents I've already made? Yes. InvoiceStamp reads your business profile each time it makes a PDF. A document you saved before the change shows your new details the next time you share or download it. The design, its color, the notes, the [payment terms](https://docs.invoicestamp.com/glossary#payment-terms) and the QR code work the other way: each document keeps its own copy. Change those in the document itself. ## Related guides - [Logo, color and signature](https://docs.invoicestamp.com/business-and-designs/logo-color-and-signature) - [Show your tax IDs on invoices](https://docs.invoicestamp.com/business-and-designs/show-your-tax-ids) - [Fill in a document](https://docs.invoicestamp.com/documents/fill-in-a-document) # Choose a design and color URL: https://docs.invoicestamp.com/business-and-designs/choose-a-design Last updated: 2026-10-21 Open the **Designs** tab, tap a design to preview its sample pages, pick a style and an [accent color](https://docs.invoicestamp.com/glossary#accent-color), then tap **Use Template**. The design goes on the document in the editor and becomes the one new documents start with. To change the design of a single document, tap the **Design** card in the editor instead. ## How do I find a design? The **Designs** tab lists every design; the line at the top says how many there are. - **Search designs** looks through each design's name, description, tags and style names. Type several words to narrow it down: *dark serif* finds designs that match both words. - The chips filter the list: **All**, **Favorites**, **Corporate**, **Creative**, **Minimalist** and **Medical**. - A **New** badge marks designs added in the last two weeks, and a tick marks the design you're using. ![The Designs tab with a Search designs field, the All, Favorites, Corporate, Creative, Minimalist and Medical chips, and the Classic, Cobalt, Corporate, Indigo, Lavender and Ledger designs](https://docs.invoicestamp.com/screenshots/designs-gallery.webp) ## How do I keep designs I like? Tap the star on a design's card, or in its preview. It's added to **Favorites**, which is saved to your account, so your favorites follow you to another phone. Favorites show first the next time you open the tab. Tap the star again to remove it. ## How do I preview and use a design? 1. Tap a design. Its preview opens: swipe through the sample pages to see it on different kinds of documents. 2. If the design comes in more than one style (light and dark versions, for example), pick one under **Style**. 3. Pick an **Accent color** (see below). The preview changes as you tap. 4. Tap **Use Template**. ![The Indigo design's preview with a sample invoice, the Accent color swatches and a Use Template button](https://docs.invoicestamp.com/screenshots/design-sheet.webp) ![The second sample page of the Indigo design, a medical consultation invoice in pounds](https://docs.invoicestamp.com/screenshots/design-sheet-sample.webp) ![The Designs tab with the Indigo card outlined and ticked as the design in use](https://docs.invoicestamp.com/screenshots/designs-selected.webp) **Use Template** puts the design, style and color on the document you're editing, and the new documents you make after it start the same way. The design and style are also saved to your account as your default design. ## What do the accent color swatches do? | Swatch | What it does | | --- | --- | | The first one, split in two colors | The design's own colors, as its designer made them. | | The plain colors after it | Colors chosen to suit this design. When your logo has colors, a **Template** / **Your logo** switch offers colors from your logo instead. | | The last one | Opens your phone's color picker for any color, then shows the color you chose. | You can also set a brand color with any hex code: see [Add your logo, brand color and signature](https://docs.invoicestamp.com/business-and-designs/logo-color-and-signature). ## How do I change the design of one document? 1. In the editor, tap the **Design** card. It shows the current design and style, here **Indigo** in **Periwinkle**. 2. Pick a **Style** or an **Accent color**. They apply to the document straight away. 3. Tap **Done**. To browse other designs, tap **Choose another design**: it opens the **Designs** tab. ![The editor's Design card for Indigo in Periwinkle, with a Color button and a thumbnail of the invoice](https://docs.invoicestamp.com/screenshots/editor-design.webp) Confirming with **Done** also makes the design your starting point for new documents. Documents you've already saved keep their own design until you change it on them. ## Related guides - [Add your logo, brand color and signature](https://docs.invoicestamp.com/business-and-designs/logo-color-and-signature) - [Make your first invoice](https://docs.invoicestamp.com/getting-started/make-your-first-invoice) # Set your default currency URL: https://docs.invoicestamp.com/business-and-designs/default-currency Last updated: 2026-10-21 Go to **Profile** → **Default Currency** and pick a currency from the list of 152. The document open in the editor switches to it, and every new document you make after it starts in that currency. Documents you've already saved keep their own currency. The setting is kept on this phone. ## How do I change my default currency? 1. Tap **Profile**. Under **Invoice Defaults**, tap **Default Currency**: it shows the current one, such as **USD · Manage your default billing currency**. 2. Search by code or name (*EUR*, *dirham*) in **Search currencies**, and tap the currency. It moves to the top of the list with a tick. 3. Tap the back arrow. ![The Profile tab with Default Currency showing USD under Invoice Defaults, above Document Numbering](https://docs.invoicestamp.com/screenshots/profile.webp) ## What does the default currency change? | | Changes? | | --- | --- | | The document open in the editor | Yes, it switches to the new currency | | New documents you make after it | Yes, they start in the new currency | | Documents you've already saved | No, each keeps its own currency | | The amounts on a document | No, InvoiceStamp doesn't convert amounts: 100 stays 100 in the new currency | It's the same list as the currency pill in the editor, which changes the currency of one document. If you invoice most clients in one currency and a few in another, set your usual currency here and change it on those few documents: see [Invoice a client in another currency](https://docs.invoicestamp.com/documents/invoice-in-another-currency). > **Set it again after signing out** > > Your default currency is stored on this phone. When you sign out, it goes back to US dollars (USD), and a new phone starts on USD too. After you sign in, open **Default Currency** and pick your currency again before you make a document. ## Where else does my currency show? The currency you chose in the first-run setup is also saved to your business profile. The Home screen uses it for its main total: amounts in other currencies are listed under it, never added in. See [Your totals on the Home screen](https://docs.invoicestamp.com/payments/home-screen-totals). ## Related guides - [Invoice a client in another currency](https://docs.invoicestamp.com/documents/invoice-in-another-currency) - [Set up InvoiceStamp on your phone](https://docs.invoicestamp.com/getting-started/set-up-invoicestamp) # Change how documents are numbered URL: https://docs.invoicestamp.com/business-and-designs/document-numbering Last updated: 2026-10-21 Each document type has its own numbering: invoices start at **INV-0001**, quotations at **QUO-0001** and sale orders at **SO-0001**. To change it, go to **Profile** → **Document Numbering**, or tap the pencil next to the number in the editor. Set a **Prefix**, the **Next #**, a **Suffix** and the **Number Length**, then tap **Save**. ## How do I change the numbering? 1. Tap **Profile** → **Document Numbering** (Prefix & counter for each type). In the editor, the pencil next to **Number** opens the same screen. 2. Choose the type at the top: **Quotation**, **Sale Order** or **Invoice**. 3. Change any of the four settings. The line **Next invoice will be number:** shows the result as you type. 4. Tap **Save**. It becomes available once you've changed something. ![The top of the invoice editor showing Number #INV-0001 with a pencil icon to change the numbering](https://docs.invoicestamp.com/screenshots/editor-top.webp) ## What does each setting do? | Setting | What it does | Default | Example | | --- | --- | --- | --- | | **Prefix** | Text before the number, up to 32 characters | INV-, QUO-, SO- | *2026-* gives 2026-0001 | | **Next #** | The number the next document gets, from 1 to 1,000,000,000 | 1 | *120* gives INV-0120 | | **Suffix** | Text after the number, up to 32 characters | none | *-EU* gives INV-0001-EU | | **Number Length** | How many digits, padded with zeros: 3 to 8 | 4 digits | 6 digits gives INV-000001 | Numbers go up by one with each document you save. > **Moving from another app?** > > Set **Next #** to the number after your last invoice there, so your numbering carries on without a gap or a repeat. ## Which documents does a change affect? - **New documents** of that type get the new numbering. - **A new document you haven't saved yet** of the same type is renumbered straight away. - **Saved documents** keep their numbers. When the document in the editor is already saved, the screen reminds you: "This invoice is already saved as INV-0001. Your edits will only apply to the next invoice." ## Why is a number skipped? Every document number is unique in your account, and a number is never given out twice: - **A deleted document's number isn't reused.** If you delete INV-0007, the next invoice is still INV-0008. Gaps in your numbering are normal. - **A number that's taken is skipped.** If **Next #** points at a number you've already used, InvoiceStamp moves on to the next free one when you save. The number shown on a new document is a preview: the final number is given when you save, so it can move on if you saved another document of the same type in the meantime, on another device for example. ## Related guides - [Fill in a document](https://docs.invoicestamp.com/documents/fill-in-a-document) - [Quotation, sale order or invoice: which to send](https://docs.invoicestamp.com/documents/quotation-sale-order-or-invoice) # Your business & designs URL: https://docs.invoicestamp.com/business-and-designs Last updated: 2026-10-21 Your business details, logo, tax IDs and signature live in **Profile**, and InvoiceStamp prints them on every quotation, sale order and invoice. Set the color from the editor's **Design** card with **Color**, or pick an accent in the design sheet. Add your signature in **Profile** → **Digital Signature**, by drawing it, typing your name or uploading an image. ## How do I add my logo? 1. Tap **Profile**, then the business row under **My Business**. 2. Under **Your Logo**, add an image: PNG, JPG or SVG, up to 2 MB. A transparent background works best. 3. Tap the back arrow to save. To change it later, tap **Replace**; to take it off your documents, tap **Remove**. InvoiceStamp tidies the image for you: a large photo is shrunk to fit, a PNG or JPG is scaled to at most 1,024 pixels, and a plain white background is removed so the logo sits cleanly on any design. An SVG is kept as it is. | Message | What to do | | --- | --- | | That image is over 2 MB. Choose a smaller one. | Export a smaller file and try again. | | That file type isn't supported. Choose a PNG or JPG. | Save the logo as a PNG or JPG first. | ## How do I set my brand color? 1. In the editor, find the **Design** card and tap **Color**. 2. **Brand Color** opens. Tap one of the swatches, tap the rainbow swatch to choose any color with your phone's color picker, or type a hex code in the **#** field: it applies once all six characters are in. ![The editor's Design card showing the Indigo design in Periwinkle, with a Color button under the design name](https://docs.invoicestamp.com/screenshots/editor-design.webp) The color applies to the document open in the editor and stays for the new documents you make after it. The setup picks your first color from your logo, or InvoiceStamp's indigo if you skipped the logo. ## How do I go back to a design's own colors? Tap the **Design** card itself (not **Color**) to open the design sheet. Under [**Accent color**](https://docs.invoicestamp.com/glossary#accent-color): - The first, half-and-half swatch is the design's own colors, as its designer made them. - The next swatches come from the design's palette. When your logo has colors, a **Template** / **Your logo** switch offers colors taken from your logo instead. - The last swatch opens the color picker for any other color. Tap **Done** to keep your choice. See [Choose a design and color](https://docs.invoicestamp.com/business-and-designs/choose-a-design). ## How do I add my signature? 1. Tap **Profile** → **Digital Signature** (it reads **Add your official signature** while there's none). 2. Choose how to make it: - **Draw**: sign with your finger in **Draw your signature**, then tap **Save** (or **Clear** to start over). - **Type**: type your name in **Type your name**; InvoiceStamp writes it in a handwriting style. - **Upload**: pick an image of your signature, up to 1 MB. 3. Tap the back arrow. The row now reads **Added to your documents**. ![The Signature screen with a Label field and three choices: Draw, Type and Upload](https://docs.invoicestamp.com/screenshots/signature.webp) The **Label** field sets the line printed under the signature on the document you're editing. Left empty, it prints **Authorized Signature**. ## Can I leave the signature off one document? Yes. In the editor, open **Additional Options**: the **Signature** row has a switch. Turn it off and that document prints without the signature (the row reads **Hidden on invoice**); your other documents keep it. New documents start with the switch on. See [Add a signature, QR code, bank details and notes](https://docs.invoicestamp.com/documents/signature-qr-code-bank-details). ![Additional Options with the Signature switch on and showing Signature added, next to the QR Code switch](https://docs.invoicestamp.com/screenshots/editor-options-added.webp) ![An invoice preview with the drawn signature above the words Authorized Signature](https://docs.invoicestamp.com/screenshots/preview.webp) ## How do I remove my signature? Open **Profile** → **Digital Signature** and tap **Remove signature**, then **Remove**. The signature is taken off your business profile, so it no longer appears on any of your documents. You can add a new one anytime. ## Related guides - [Edit your business profile](https://docs.invoicestamp.com/business-and-designs/business-profile) - [Choose a design and color](https://docs.invoicestamp.com/business-and-designs/choose-a-design) # Show your tax IDs on invoices URL: https://docs.invoicestamp.com/business-and-designs/show-your-tax-ids Last updated: 2026-10-21 Add your main tax number in [**Tax ID**](https://docs.invoicestamp.com/glossary#tax-id) in your business details, then any other numbers under **Additional Details** → **Add Legal Identifier**: TVA / VAT, ICE, SIRET, EIN, ABN, RFC and more. Clients have the same fields. InvoiceStamp prints them on every document: yours with your business details, theirs with the client's. ## How do I add my own tax IDs? 1. Tap **Profile**, then your business row under **My Business**. (In the editor, the business card opens the same screen.) 2. Under **Tax & Legal**, type your main number in **Tax ID**. 3. Tap **Additional Details**, then **Add Legal Identifier**, and pick a type from the list. Type the number in the row that appears. Repeat for each identifier you need; remove one with its **✕**. 4. The same 20 types, for your business and for clients, whatever the country. Each type can be added once. | Identifier | Usually used for | | --- | --- | | **TVA / VAT** | Value-added tax number (EU, UK, Morocco and elsewhere) | | **ICE** | Identifiant Commun de l'Entreprise (Morocco) | | **RC**, **IF**, **TP**, **CNSS**, **Patente** | Trade register, tax, business tax and social security numbers (Morocco) | | **SIREN**, **SIRET** | Company and establishment numbers (France) | | **NIF** | Tax identification number (Spain, Portugal, Algeria and others) | | **EORI** | Customs registration (EU and UK) | | **UID** | Business identification number (Switzerland, Austria) | | **EIN**, **SSN** | Employer and social security numbers (United States) | | **ABN**, **GST** | Business number and GST registration (Australia, India and others) | | **RFC** | Tax ID (Mexico) | | **RUT** | Tax ID (Chile, Colombia, Uruguay) | | **CNPJ**, **CPF** | Company and personal tax numbers (Brazil) | Add the ones your country's rules ask you to show. InvoiceStamp prints each number exactly as you type it. ## How do they print on the PDF? - **ICE** is printed as the main ID when you've added one. Otherwise the **Tax ID** is. - Every other identifier prints with its code, in capitals: SIRET, EIN, ABN and so on. **TVA / VAT** prints as **TVA**. - Where they go on the page depends on the design. Tap **Preview** in the editor to check them before you send. ## Do I need to update old documents? No. Your business details and your clients' details are read each time a PDF is made, so documents you've already saved show your current tax IDs the next time you share or download them. ## Related guides - [Edit your business profile](https://docs.invoicestamp.com/business-and-designs/business-profile) - [Save and manage clients](https://docs.invoicestamp.com/clients-and-products/save-clients) # Clients and products URL: https://docs.invoicestamp.com/clients-and-products Last updated: 2026-10-21 InvoiceStamp keeps a library of your clients and of the products and services you sell. Add a client from the editor's client card or from **Profile** → **Saved Clients**, fill in at least the name, and tap **Save client**. You can fill the form from your phone's contacts, and edit, archive or delete a client later. ## How do I add a client? You can start from any of these: - **In the editor**: tap the client card (**Your Client**), then **New** on **Choose a client**. The new client is then on the document you're making. - **Profile** → **Saved Clients** → **New**. - The **+** button → **Client**, or **New Client** on the Home screen. 1. Type the client's **Name**. It's the only required field. 2. Add their **Email**, **Phone** and **Address**, and choose their **Country**. Fill in what you want printed on your documents. 3. Under **Tax & Legal**, add their [**Tax ID**](https://docs.invoicestamp.com/glossary#tax-id) if your invoices need it. 4. Tap **Save client**. If the name is empty, the button explains: "Add a name to save this client." ![The New client form, empty, with Load from Contacts, Name, Email, Phone, Address, Country and Tax ID](https://docs.invoicestamp.com/screenshots/client-new-empty.webp) ![The New client form filled in for John Doe with an email, phone number, address in New York, United States and a tax ID](https://docs.invoicestamp.com/screenshots/client-new-filled.webp) If you go back with changes you haven't saved, the app asks **Discard changes?**: tap **Discard** to drop them or **Keep editing** to stay. ## How do I load a client from my contacts? 1. On the new client form, tap **Load from Contacts**. 2. The first time, your phone asks whether InvoiceStamp can access your contacts. On iPhone, you can allow all of them or only the ones you pick. 3. Choose the contact. InvoiceStamp fills in their name and their first email, phone number and postal address, replacing what you typed in those fields. 4. Check the form, add anything missing, such as the country or tax ID, and tap **Save client**. If you said no to contacts before, the app shows "Contacts permission denied". To change that, open your phone's **Settings**, find InvoiceStamp under **Apps**, and allow **Contacts** (on Android, under **Permissions**). ## How do I add a client's legal identifiers? Some countries expect more than one company number on an invoice, such as a VAT number and a registration number. 1. At the bottom of the client form, tap **Additional Details**. 2. Under [**Legal Identifiers**](https://docs.invoicestamp.com/glossary#legal-identifier), tap **Add Legal Identifier** and choose the type. 3. Type the number. Add as many types as you need; each can be added once, and the **✕** next to one removes it. ![Additional Details opened on the client form, with Add Legal Identifier, and Website and Fax under Web & Contact](https://docs.invoicestamp.com/screenshots/client-additional-details.webp) ![The Add Legal Identifier menu listing ICE, RC, IF, TP, CNSS, Patente and TVA / VAT](https://docs.invoicestamp.com/screenshots/client-legal-identifiers.webp) The types are ICE, RC, IF, TP, CNSS, Patente, TVA / VAT, SIREN, SIRET, NIF, EIN, EORI, SSN, ABN, GST, RUT, RFC, CNPJ, CPF and UID. The list is the same whatever the client's country. **Additional Details** also has the client's **Website** and **Fax**. See [Show your tax IDs on invoices](https://docs.invoicestamp.com/business-and-designs/show-your-tax-ids) for how they print. ## How do I find a saved client? Go to **Profile** → **Saved Clients**. The list shows each client's name with their email and phone, or "No contact details". Search with **Search name, email, phone or tax ID**: it also matches addresses and legal identifiers, and part of a word is enough. In the editor, **Choose a client** lists your **Saved clients** with their own search. Tap a client to put them on the document. ![Choose a client in the editor before any client is saved: No saved clients yet, with a New button](https://docs.invoicestamp.com/screenshots/client-picker-empty.webp) ## How do I change a client? In **Saved Clients**, swipe the client's row or tap **More actions** (**…**), then **Edit**. Change the details and tap **Save changes**. > **Changes reach documents you already made** > > Documents show your client's saved details. When you edit a client, every document for them shows the new details the next time its PDF is made, including invoices you sent before. In the editor, the client card leads to the client on that document: **Edit** changes the saved client, **Change client** picks another one, and **Remove from invoice** takes them off this document only. ## How do I archive or delete a client? Swipe the client's row or tap **More actions**: - **Archive** takes the client out of your list and the editor's picker. Documents that use them keep their details. Find them in the **Archived** tab, and tap **Restore** to bring them back. - **Delete** removes the client from your library. The app asks **Delete Client?** first. A client on any of your documents can't be deleted. The app shows **Can't delete this client**, with how many documents use them, and offers **Archive instead** or **Keep it**. ## Do I need a connection to add clients? Yes. Adding and changing clients saves them to your account, so the app needs to be online. See [Troubleshooting](https://docs.invoicestamp.com/account/troubleshooting) if you see the offline screen. ## Related guides - [Save products and services](https://docs.invoicestamp.com/clients-and-products/save-products) - [Make your first invoice](https://docs.invoicestamp.com/getting-started/make-your-first-invoice) # Save products and services URL: https://docs.invoicestamp.com/clients-and-products/save-products Last updated: 2026-10-21 Save each product or service you sell once, with its price, unit and usual tax, and add it to any document in a tap. Go to **Profile** → **Products & Services** and tap **New**, or create one from the editor's **Add products** screen. Changing a saved product later doesn't change documents that already use it. ## How do I add a product or service? You can start from any of these: - **Profile** → **Products & Services** → **New**. - The **+** button → **Product**, or **New Product** on the Home screen. - **In the editor**: **Products & Services** → **Add product** (or **+ Product**) → **New**. A product you create here is ready to add to the document. 1. Under **Product Image**, add a photo or picture if you want: JPEG, PNG or WebP, up to 2 MB. Bigger pictures are shrunk for you. It shows on the designs that print item pictures. 2. Under **Product Info**, type the **Description**: the product's name as it appears on your documents. This is the only required field. Add a **Note** for details printed under the name, such as what's included. 3. Enter the **Price** and choose the [**Unit**](https://docs.invoicestamp.com/glossary#uom), such as **Piece**, **Hour** or **Day**. The price is in the currency of the document open in the editor. 4. Under **Default Tax & Discount**, set what this product usually carries. **Discount** is a percentage (**%**) or an amount (the currency symbol). **Tax** is a percentage, either [**Excl.**](https://docs.invoicestamp.com/glossary#tax-excluded-included) (added on top of the price) or **Incl.** (already in the price). 5. Tap **Save Product**. ![The New product form, empty: Product Image, Description, Note, Price, Unit set to Piece, and Discount and Tax at 0](https://docs.invoicestamp.com/screenshots/product-new-empty.webp) ![The New product form for Web Design: website and landing page mockups, price 150, unit Piece, tax 4 percent excluded](https://docs.invoicestamp.com/screenshots/product-new-filled.webp) The default tax and discount fill in the line each time you add the product. You can still change them on any document. See [Add tax and discounts](https://docs.invoicestamp.com/documents/tax-and-discounts). ## Which units can I choose? | Kind | Units | | --- | --- | | Count | Piece, Unit, Box, Pack, Set | | Time | Hour, Day, Month, Year | | Weight | Kilogram, Gram, Tonne | | Volume | Litre, Millilitre, Cubic Metre | | Length and area | Metre, Centimetre, Kilometre, Square Metre | | Work | Service, Session, Visit, Intervention, Project, Licence | Tap **Custom…** to type your own, up to 32 characters. Units you've typed before are listed under **Your units**. With no unit chosen, the product uses **Piece**. On documents, most units print as a short symbol, such as *pc* for Piece or *h* for Hour. ## How do I add a saved product to a document? 1. In the editor, tap **Products & Services**, then **Add product** (or **+ Product** once the document has lines). 2. **Add products** lists your **Saved products**. Search with **Search products or notes**, and set each quantity with **−** and **+**. 3. Tap **Add … item** at the bottom. Going back without tapping the button adds nothing. See [Add line items](https://docs.invoicestamp.com/documents/add-line-items) for what you can do with the lines. ## How do I change, duplicate or remove a product? Go to **Profile** → **Products & Services**. Search with **Search products or notes**, then use a product's menu: - **Edit**: change the details and tap **Update Product**. Documents that already have the product keep the details they were made with: each line keeps its own copy. - **Duplicate**: makes a copy named "*name* (copy)", handy for a variation of the same service. - **Archive**: takes the product out of your list and the editor's picker. Find it in the **Archived** tab and tap **Restore** to bring it back. - **Delete**: removes it after **Delete Product?**. A product used on any document line can't be deleted; archive it instead. ![The Profile tab with My Business, Saved Clients and Products & Services, Default Currency, Document Numbering and Settings](https://docs.invoicestamp.com/screenshots/profile.webp) ## Related guides - [Save and manage clients](https://docs.invoicestamp.com/clients-and-products/save-clients) - [Add line items](https://docs.invoicestamp.com/documents/add-line-items) - [Make your first invoice](https://docs.invoicestamp.com/getting-started/make-your-first-invoice) # Add line items to a document URL: https://docs.invoicestamp.com/documents/add-line-items Last updated: 2026-10-21 Tap **Products & Services** in the editor to open the items screen. **+ Product** adds items from your saved products, **Custom** adds a one-off line, and [**Section**](https://docs.invoicestamp.com/glossary#section) adds a heading that groups the lines under it. Tap any line to change its quantity, unit, price, discount or tax, and touch and hold a line to move it. ## How do I add a saved product? 1. In the editor, tap **Products & Services**. On an empty document, tap **Add product**; once there are items, tap **+ Product**. 2. **Add products** lists your saved products. Search them by name or note, and set how many of each you want with **−** and **+**. To save a new product, tap **New**: once saved, it's already selected. 3. Tap **Add 1 item** at the bottom. The button counts units and shows their total, so 3 hours of one service reads **Add 3 items**. ![The Products & Services screen with No items yet, a Type a custom line button and an Add product button](https://docs.invoicestamp.com/screenshots/items-empty.webp) ![Add products with No products yet and an Add your first product button](https://docs.invoicestamp.com/screenshots/products-picker-empty.webp) ![Add products with Web Design at quantity 1, 1 × 150.00 dollars, and an Add 1 item button showing 150.00 dollars](https://docs.invoicestamp.com/screenshots/products-picker.webp) Each product brings its unit, note, image and default tax and discount onto the line. **Back** leaves **Add products** without adding anything. When you open **+ Product** again, the products already on the document show their quantities. Change a quantity to update that line, keeping anything else you edited on it; bring a product back to zero to take its line off. See [Save products and services](https://docs.invoicestamp.com/clients-and-products/save-products). ## How do I add a one-off line? Tap **Custom**, or **Type a custom line** on an empty document. The line's sheet opens straight away: give it a **Name** and a [**Unit Price**](https://docs.invoicestamp.com/glossary#unit-price), and any other detail you need. A custom line belongs to this document only and isn't added to your saved products. If you close the sheet without typing anything, the empty line is removed. ## How do I group lines under a heading? Tap **Section**. A heading row appears with the placeholder **SECTION HEADER…**: type a title, such as *Design* or *Development*, and drag it above the lines it groups. A section has no price and isn't counted as an item. On the PDF, it's printed as a heading between your lines. Tap its trash icon to delete it. ## What can I change on a line? Tap a line to open its sheet. The top shows the line's total, and the trash icon deletes it. | Field | What it does | | --- | --- | | **Item Image** | A picture of the item, up to 2 MB. It "appears in templates that support item images". | | **Name** | The line's title on the PDF, such as *Logo Design*. | | **Description** | Optional details, printed under the name. | | **Quantity** | Use **−** and **+**, or type it. Decimals work, such as 1.5 hours. | | [**Unit**](https://docs.invoicestamp.com/glossary#uom) | Piece, Hour, Day, Kilogram and more: see below. | | **Unit Price** | The price of one unit. | | **Discount** | Tap **Add Discount** to take something off this line. | | **Tax (%)** | Tap **Add Tax** to set this line's tax rate. | **Breakdown** at the bottom shows the line's [subtotal](https://docs.invoicestamp.com/glossary#subtotal), discount and tax. Changing a line only changes this document, not the saved product it came from. For how tax and discounts work, see [Add tax and discounts](https://docs.invoicestamp.com/documents/tax-and-discounts). ## Which units can I use? The **Unit** list has 25 units: Piece, Unit, Hour, Day, Month, Year, Kilogram, Gram, Tonne, Litre, Millilitre, Metre, Centimetre, Kilometre, Square Metre, Cubic Metre, Box, Pack, Set, Service, Session, Visit, Intervention, Project and Licence. Under them, **Your units** lists units you've typed on your products, and **Custom…** lets you type your own, up to 32 characters. The PDF prints most units as a short symbol, such as *pc*, *h* or *m²*. ## How do I reorder, select and delete lines? ![The items screen with one line item, Web Design at 156.00 dollars, the hint Long press to select · drag to reorder, and Product, Custom and Section buttons](https://docs.invoicestamp.com/screenshots/items-list.webp) - **Move a line**: touch and hold it, then drag it up or down. - **Delete one line**: open it and tap the trash icon. **Item deleted** appears with **Undo**, which puts it back where it was. - **Delete several**: touch and hold a line without moving it to start selecting, then tap the others. Tap **Delete 2 items** and confirm. This can't be undone, but you can add products again from **+ Product**. Tap **Done** to stop selecting. - **Delete them all**: tap the trash icon at the top of the screen, then **Clear All**. This can't be undone. When you're done, tap **Back** to return to the editor. ## Related guides - [Add tax and discounts](https://docs.invoicestamp.com/documents/tax-and-discounts) - [Save products and services](https://docs.invoicestamp.com/clients-and-products/save-products) - [Make your first invoice](https://docs.invoicestamp.com/getting-started/make-your-first-invoice) # Fill in a document, section by section URL: https://docs.invoicestamp.com/documents/fill-in-a-document Last updated: 2026-10-21 The editor fills in from top to bottom: the number and dates, your business, the client, the [line items](https://docs.invoicestamp.com/glossary#line-item), the design and four optional extras. Your business name, a client and at least one item with a price are required; the rest is optional. Tap **Save** when you're done: until then, the draft stays on your phone. ## What's at the top of the editor? The header card shows the document's type and total, with the amount before tax and the tax under it (*150.00 $ net • +6.00 $ tax*). The cloud icon beside the type shows whether the document is saved to your account yet. - **Currency**: the pill under the total, such as **USD**. Tap it to choose this document's currency: see [Invoice a client in another currency](https://docs.invoicestamp.com/documents/invoice-in-another-currency). - **Number**: the document's number, such as *#INV-0001*. Tap the pencil to open **Document Numbering**, where you set the prefix, the next number, a suffix and the number's length for this type. There's no field to type a one-off number. - **Reference**: tap [**+ Reference**](https://docs.invoicestamp.com/glossary#reference) to add a purchase order, contract or job number (for example *PO-9988*). It's printed on the PDF. Tap **✕** to remove it. ![The top of the editor: INVOICE with 156.00 dollars, 150.00 net and 6.00 tax, a USD pill, number INV-0001 with a pencil, a Reference button, and issue and due dates](https://docs.invoicestamp.com/screenshots/editor-top.webp) If the document isn't saved yet, new numbering settings renumber it straight away. Once it's saved, the sheet tells you the change applies to the next one. See [Document numbering](https://docs.invoicestamp.com/business-and-designs/document-numbering). ## How do I set the issue and due dates? A new document is dated today, with a [due date](https://docs.invoicestamp.com/glossary#due-date) 30 days later. To change either one: 1. Tap [**Issue date**](https://docs.invoicestamp.com/glossary#issue-date) or **Due date**. A calendar opens. 2. Pick a day, or use a shortcut. For the issue date: **Today**, **Tomorrow**, **+7 Days**, **+14 Days** and **+30 Days**. For the due date: **Same day**, **Net 7**, **Net 14**, **Net 30** and **Net 60**, counted from the issue date. 3. Tap **Confirm**. To leave a document without a due date, tap **Clear** instead. If you move the issue date past the due date, the card warns **Due date is before the issue date**. Tap **Due on receipt** to set the due date to the issue date, or pick another day. From the day after its due date, an invoice that isn't fully paid is flagged in your lists: [**Overdue**](https://docs.invoicestamp.com/glossary#overdue) when nothing is paid, or the amount still due in red when it's partly paid. ## What is the supply date? The [supply date](https://docs.invoicestamp.com/glossary#supply-date) is the day you delivered the goods or did the work, which some tax authorities call the tax point. You only need it when it differs from the issue date. Tap **+ Add Supply Date**: a **Supply date** row appears, set to the issue date, and you can change it like the others. Tap **✕** to remove it. ## How do I add my business details? The first card is your business: your logo and name, with your email and [tax ID](https://docs.invoicestamp.com/glossary#tax-id) once you've added them. It shows **Required** until your business has a name. Tap it to open **Business Details**: your logo, [**Trading Name**](https://docs.invoicestamp.com/glossary#trading-name), **Email**, **Phone**, **Address**, **Country** and **Tax ID**, and under **Additional Details** your [legal identifiers](https://docs.invoicestamp.com/glossary#legal-identifier), website and fax. There's no Save button: your changes are saved when you go back. These details are your business profile, shared by every document. Change them, and documents you've already saved show the new details the next time their PDF is made. See [Your business profile](https://docs.invoicestamp.com/business-and-designs/business-profile). ## How do I choose the client? 1. Tap **Your Client** (Add "Bill to" info). **Choose a client** lists your saved clients; search them by name, email or phone. 2. Tap a client to put them on the document. For someone new, tap **New**, fill in at least the **Name**, and tap **Save client**: they're added to the document and to your saved clients. ![Choose a client, with No saved clients yet and a New button at the top right](https://docs.invoicestamp.com/screenshots/client-picker-empty.webp) ![The New client form with name, email, phone, address, country and tax ID filled in, and a Save client button](https://docs.invoicestamp.com/screenshots/client-new-filled.webp) Once a client is chosen, tap the card again to **Edit** their details, **Change client**, or **Remove from invoice**. Editing a saved client updates every document they're on, the next time its PDF is made. See [Save and manage clients](https://docs.invoicestamp.com/clients-and-products/save-clients). ## How do I add what I'm charging for? Tap **Products & Services**. The card reads **0 items** and **Required** until you add one; afterwards it lists your items with their prices. See [Add line items](https://docs.invoicestamp.com/documents/add-line-items) and [Add tax and discounts](https://docs.invoicestamp.com/documents/tax-and-discounts). ## How do I change the design and color? The **Design** card shows the design and style, such as **Indigo** and **Periwinkle**. Tap the card to change the style or [accent color](https://docs.invoicestamp.com/glossary#accent-color), or tap **Choose another design** to browse them all. Tap **Color** to set your brand color. See [Choose a design and color](https://docs.invoicestamp.com/business-and-designs/choose-a-design). ## What are the Additional Options? **Additional Options** holds four extras: **Signature**, **QR Code**, **Bank Info** and **Notes & Terms**. Each has its own switch, so you can hide it on one document without deleting it. See [Add a signature, QR code, bank details and notes](https://docs.invoicestamp.com/documents/signature-qr-code-bank-details). ![The Design card with Indigo and Periwinkle and a Color button, above Additional Options for signature, QR, bank info and notes](https://docs.invoicestamp.com/screenshots/editor-design.webp) ![Additional Options opened, with Signature, QR Code, Bank Info and Notes & Terms each marked Not added and an Add button](https://docs.invoicestamp.com/screenshots/editor-additional-options.webp) ## What does the editor need before I can save? Three things: your business name, a client, and at least one item with both a name and a price above zero. Until they're there, **Preview** and **Save** are dimmed. Tap either one: the editor scrolls to what's missing, and a hint above the buttons says what to do: | Hint | What to add | | --- | --- | | Add business info to continue | Your business name, on the first card | | Add client details to continue | A client, on the **Your Client** card | | Add a product or service to continue | At least one item | | Give item 2 a name to continue | A name for that line | | Give item 2 a price to continue | A price above zero for that line | ## What happens when I tap Save? The document is saved to your account, the cloud icon shows it's saved, and the button changes to **Share**. Make another change and it reads **Save** again. A saved document stays editable: open it from **Documents** and tap **Edit**. There's no draft or final status to switch between, so save as often as you like. If saving fails, the app shows **Failed to save document** or a more specific message: check your connection and tap **Save** again. ![The editor after saving: the Design card, Additional Options with 2 of 4 added, and the Save button now reading Share](https://docs.invoicestamp.com/screenshots/editor-share.webp) ## What happens to a document I haven't saved? Your draft is kept on your phone as you type, even if you close the app, but it isn't in your account until you tap **Save**. You can switch tabs and come back: while a draft is open, the **+** button in the tab bar shows a pen, and tapping it returns to the editor. If you start a new document or open another one while the draft has unsaved changes, the app asks first: - **New invoice**: "You have unsaved changes on your current document. Starting a new one will clear them." Tap **Clear and start new** or **Keep editing**. - **Edit** a saved document from **Documents**: "You have unsaved changes on your current document. Opening this one will clear them." Tap **Clear and open** or **Keep editing**. A new document starts with the same design, color, currency, notes, terms and QR code as the one before, so you don't set them up each time. # Documents URL: https://docs.invoicestamp.com/documents Last updated: 2026-10-21 InvoiceStamp makes three kinds of document: quotations, sale orders and invoices. All three use the same editor, from the client and line items to the design and the PDF. These guides go through the editor section by section, then cover tax, currencies, the optional extras, sharing the PDF and the **Documents** tab where everything you save is kept. - [Quotation, sale order or invoice](https://docs.invoicestamp.com/documents/quotation-sale-order-or-invoice): What each document is for, and which one to send. - [Fill in a document](https://docs.invoicestamp.com/documents/fill-in-a-document): The editor from top to bottom: number, dates, business, client, design. - [Add line items](https://docs.invoicestamp.com/documents/add-line-items): Saved products, one-off lines, section headings, units and reordering. - [Add tax and discounts](https://docs.invoicestamp.com/documents/tax-and-discounts): Tax added on top or included in prices, discounts in percent or amount. - [Invoice in another currency](https://docs.invoicestamp.com/documents/invoice-in-another-currency): Bill a client in any of 152 currencies, one document at a time. - [Signature, QR code, bank details and notes](https://docs.invoicestamp.com/documents/signature-qr-code-bank-details): The four Additional Options and how to show or hide them. - [Share an invoice PDF](https://docs.invoicestamp.com/documents/share-an-invoice-pdf): Send the PDF through any app, or save it to Files. - [Manage your documents](https://docs.invoicestamp.com/documents/manage-your-documents): Search, sort, filter, edit and delete what you've saved. # Invoice a client in another currency URL: https://docs.invoicestamp.com/documents/invoice-in-another-currency Last updated: 2026-10-21 To bill a client in another currency, open the document in the editor and tap the currency pill under the total, such as **USD**. Choose the currency from the list of 152, and the whole document switches to it. Type your prices in that currency: InvoiceStamp doesn't convert amounts, it doesn't use [exchange rates](https://docs.invoicestamp.com/glossary#exchange-rate). ## How do I change a document's currency? 1. In the editor, tap the currency pill under the total (**USD** with an arrow, here). 2. **Select Currency** opens. Type in **Search currencies** to find one by its code or name, such as *EUR* or *dirham*. The currency you're using is at the top. 3. Tap the currency. The list closes and every amount on the document shows in it. ![The top of the editor, with the 156.00 dollars total and the USD currency pill under it, then the number and the issue and due dates](https://docs.invoicestamp.com/screenshots/editor-top.webp) Each row shows the currency's flag, code, symbol and name. Every country's currency is in the list. The Bulgarian lev was retired when Bulgaria moved to the euro. ## Does InvoiceStamp convert my prices? No. Changing the currency keeps the numbers you typed and changes only their currency: a line at 150 dollars becomes a line at 150 euros. There's no exchange rate in the app, and none is printed on the PDF. So when you bill in another currency: 1. Choose the currency first. 2. Type each price in that currency. Saved products bring their price as a plain number, so check it on each line after adding a product. 3. If your client needs the rate you used, or the equivalent in your own currency, write it in **Notes & Terms**. See [Add a signature, QR code, bank details and notes](https://docs.invoicestamp.com/documents/signature-qr-code-bank-details). ## What changes on the PDF? - Every amount shows with the new currency's symbol, always with two decimals. - Designs that print the [total in words](https://docs.invoicestamp.com/glossary#total-in-words) name the currency: *Dollars*, *Euros* or *Dirhams*, or the currency's code for the others. - Your tax rates, discounts and [line items](https://docs.invoicestamp.com/glossary#line-item) stay as they are. ## Which currency do new documents start in? The currency of the last document you worked on, on this phone. If you mostly bill in one currency, set it as your default and switch only for the clients who need another one. See [Set your default currency](https://docs.invoicestamp.com/business-and-designs/default-currency). ## What about payments and my totals? - **Payments** on an invoice are in the invoice's currency. If you change the currency after recording a payment, the payment isn't converted. See [Record a full or partial payment](https://docs.invoicestamp.com/payments/record-a-payment). - **Home** keeps one total per currency and never adds different currencies together. The main total is in your main currency, with the others listed under it. See [Read your totals on the Home screen](https://docs.invoicestamp.com/payments/home-screen-totals). ## Related guides - [Add tax and discounts](https://docs.invoicestamp.com/documents/tax-and-discounts) - [Fill in a document, section by section](https://docs.invoicestamp.com/documents/fill-in-a-document) # Find and manage your documents URL: https://docs.invoicestamp.com/documents/manage-your-documents Last updated: 2026-10-21 Every document you save is in the **Documents** tab. Switch between **All**, **Quotation**, **Sale Order** and **Invoice**, or search by client name or document number. Tap a document to edit it, share or download its PDF, record a payment on an invoice, or delete it. Swipe one to the left for **Pay** and **Share**. ## What does the Documents list show? ![The Documents tab before anything is saved: No documents yet, with a Create document button](https://docs.invoicestamp.com/screenshots/documents-empty.webp) ![The Documents tab with one invoice: INV-0001, Invoice, John Doe, Today, 156.00 dollars, Unpaid](https://docs.invoicestamp.com/screenshots/documents-list.webp) Each row shows the document's number, its type, the client, when it's dated (*Today*, *Yesterday*, *3d ago* or the date) and its total. Invoices also show their payment status: **Unpaid**, the amount still due when partly paid, **Paid**, or [**Overdue**](https://docs.invoicestamp.com/glossary#overdue) once the [due date](https://docs.invoicestamp.com/glossary#due-date) has passed. See [Record a full or partial payment](https://docs.invoicestamp.com/payments/record-a-payment). More documents load as you scroll, down to "You've reached the end". Pull the list down to refresh it. ## How do I find a document? - **By type**: tap **Quotation**, **Sale Order** or **Invoice** at the top. **All** shows everything. - **By search**: type in **Search client or number**. It matches part of the document number, or the client's name, email or [tax ID](https://docs.invoicestamp.com/glossary#tax-id). Your last searches appear as chips under **Recent** when you tap the empty search box; they're kept on this phone only. - **By payment**: on **Invoice**, tap **Unpaid**, **Partial** or **Paid** to list only those. **All** shows every invoice again. If nothing matches, the app says so: tap **Clear search** or **Clear filter**. ## How do I sort the list? Tap the sort icon next to **Select** and choose: - **Newest first**: the documents you saved most recently at the top. It's the default. It goes by when you saved, so an invoice you back-dated today is at the top. - **Highest amount**: the largest totals first. The heading above the list shows the order you chose, such as **NEWEST FIRST**. ## What can I do with a document? Tap it to open its sheet: ![The sheet for INV-0001: a thumbnail, 156.00 dollars for John Doe today, a Payment row showing 156.00 dollars due, and Edit, Share, Download PDF, View PDF and Delete](https://docs.invoicestamp.com/screenshots/document-detail.webp) | Action | What it does | | --- | --- | | The thumbnail | Shows the document full screen. | | **Payment** (invoices only) | Records a full or [partial payment](https://docs.invoicestamp.com/glossary#partial-payment). It shows what's due, or **Paid**. | | **Edit** | Opens the document in the editor. Save to update it: it keeps its number. | | **Share** | Makes the PDF and opens the share sheet. See [Share an invoice PDF](https://docs.invoicestamp.com/documents/share-an-invoice-pdf). | | **Download PDF** | Saves the PDF to your phone. | | **View PDF** | Opens the PDF with its details, **Share PDF** and a download button. | | **Delete** | Deletes the document, after asking. | If the editor holds another document with changes you haven't saved, **Edit** asks first: **Clear and open** discards those changes, **Keep editing** takes you back to them. Swiping a row to the left gives two shortcuts: **Pay**, for an invoice that isn't fully paid, and **Share**. ## How do I delete documents? To delete one, tap it, then **Delete**. The app asks, for example, **Delete invoice?** with the document's number: tap **Delete**. To delete several: 1. Tap **Select** at the top, or touch and hold a document. 2. Tap each document to delete, or **Select all**. 3. Tap **Delete** and confirm. > **Deleting can't be undone** > > A deleted document can't be restored from the app, and its number isn't given to another document, so your numbering keeps a gap. Download the PDF first if you need a copy. ## Can I copy a document or turn a quotation into an invoice? Not in this version: there's no duplicate or convert button. To make a similar document, start a new one. The editor keeps your design, currency, notes and [payment terms](https://docs.invoicestamp.com/glossary#payment-terms) from the last document, and your saved client and products take a tap each to add back. See [Quotation, sale order or invoice: which to send](https://docs.invoicestamp.com/documents/quotation-sale-order-or-invoice). ## What do Draft, Queued and Failed mean on a row? They're about saving, not about your client: - **Draft** shows for a moment on a document you've just saved, until your account confirms it. - **Queued**, **Generating** and **Failed** show on a save that was cut off by a lost connection. It finishes on its own when you're back online. See [Fix common problems in InvoiceStamp](https://docs.invoicestamp.com/account/troubleshooting). ## Related guides - [Fill in a document, section by section](https://docs.invoicestamp.com/documents/fill-in-a-document) - [Read your totals on the Home screen](https://docs.invoicestamp.com/payments/home-screen-totals) # Quotation, sale order or invoice: which to send URL: https://docs.invoicestamp.com/documents/quotation-sale-order-or-invoice Last updated: 2026-10-21 Send a **quotation** before the work is agreed, so the client sees the price. Send a **sale order** once they say yes, to confirm what you'll deliver and for how much. Send an **invoice** to get paid: it's the only one of the three you can record payments on. InvoiceStamp makes all three with the same editor. ## How do the three documents differ? | | Quotation | Sale order | Invoice | | --- | --- | --- | --- | | What it tells the client | What the job would cost | What you've both agreed | What they owe you | | When to send it | Before the client agrees | After they accept, before you deliver | When the work is done or payment is due | | In the **+** menu | **Quotation** (Price it first) | **Sale Order** (Lock the deal) | **Invoice** (Get paid) | | First number, by default | QUO-0001 | SO-0001 | INV-0001 | | Payments | No | No | Full or partial, with **Unpaid**, **Partial** and **Paid** | | Home screen total | **Total Quoted** | **Total Sale Orders** | **Total Invoiced** | Each type keeps its own numbering, so your quotations, sale orders and invoices each count up on their own. You can change the prefix and the next number in [Document numbering](https://docs.invoicestamp.com/business-and-designs/document-numbering). ## How do I make each one? 1. Tap the round **+** button at the right of the tab bar. 2. Tap **Quotation**, **Invoice** or **Sale Order**. The editor opens on a new, numbered document of that type. ![The What are we making? menu with three buttons: Quotation, Price it first; Invoice, Get paid; Sale Order, Lock the deal](https://docs.invoicestamp.com/screenshots/create-menu.webp) The editor is the same for all three: business, client, [line items](https://docs.invoicestamp.com/glossary#line-item), design and the optional extras. Only the document's name changes, on the editor's header, the **Save** button in the preview and the PDF. Every type has an [**Issue date**](https://docs.invoicestamp.com/glossary#issue-date) and a [**Due date**](https://docs.invoicestamp.com/glossary#due-date); on a quotation, you can set the due date to the day your offer ends. See [Fill in a document](https://docs.invoicestamp.com/documents/fill-in-a-document). ## Can I turn a quotation into an invoice? Not automatically. In InvoiceStamp 1.1.0, each document stands on its own, and a document's type can't be changed once it's saved. When a client accepts a quotation: 1. Tap **+** and choose **Sale Order** or **Invoice**. 2. Pick the same client from your saved clients, and add the same products from **Add products**. Saved clients and products make this a few taps. 3. Tap [**+ Reference**](https://docs.invoicestamp.com/glossary#reference) and type the quotation's number, such as *QUO-0001*, so your client can match the two documents. ## Which document do I record a payment on? Only on an invoice. Open it in **Documents** and tap **Payment** to mark it paid in full or in part. Quotations and sale orders have no payment row and no paid or unpaid status. See [Record a payment](https://docs.invoicestamp.com/payments/record-a-payment). ## Related guides - [Make your first invoice](https://docs.invoicestamp.com/getting-started/make-your-first-invoice) - [Manage your documents](https://docs.invoicestamp.com/documents/manage-your-documents) - [Read your totals on the Home screen](https://docs.invoicestamp.com/payments/home-screen-totals) # Share an invoice PDF URL: https://docs.invoicestamp.com/documents/share-an-invoice-pdf Last updated: 2026-10-21 To send a document, save it, then tap **Share** in the editor: InvoiceStamp makes the PDF and opens your phone's share sheet, where you pick WhatsApp, Mail, Messages or any other app. From the **Documents** tab, tap the document and choose **Share**, or **Download PDF** to save a copy on your phone. ## How do I share a document from the editor? 1. Tap **Save**. Once the document is saved, the button reads **Share**. If you change anything afterwards, it reads **Save** again. 2. Tap **Share**. **Preparing to share** opens while InvoiceStamp makes the PDF, usually for a few seconds. If it takes longer, the message changes to "Still rendering your PDF — this can take a moment…", and **Cancel** stops waiting. 3. Your phone's share sheet opens with the PDF. Choose an app, such as WhatsApp, Mail or Messages, and send it as you would any file. To keep a copy instead, choose **Save to Files** on iPhone, or your files app on Android. ![The editor after saving: the button next to Preview now reads Share](https://docs.invoicestamp.com/screenshots/editor-share.webp) ![Preparing to share: Preparing your invoice, Generating a PDF to share](https://docs.invoicestamp.com/screenshots/share-preparing.webp) You can also share from **Preview**: once the document is saved, its button reads **Share to** and your client's name. ## What does my client receive? A PDF named after the document's number, such as *InvoiceStamp-INV-0001.pdf*. Apps that send a message with the file add a line such as *Invoice INV-0001 - Total: 156.00 $*. The PDF goes out from the app you chose, under your own account: your WhatsApp, your email address. InvoiceStamp doesn't email your clients, and documents have no web link to send. ## How do I share a document I saved earlier? 1. Open the **Documents** tab and tap the document. 2. Tap **Share**. The PDF is prepared and the share sheet opens, as from the editor. ![The sheet for invoice INV-0001 with Payment, Edit, Share, Download PDF, View PDF and Delete](https://docs.invoicestamp.com/screenshots/document-detail.webp) Faster: in the **Documents** list, swipe a document to the left and tap **Share**. ## How do I save a PDF to my phone? 1. In **Documents**, tap the document, then **Download PDF**. **Preparing to download** shows while the PDF is made. 2. When it's saved, the app shows where, such as **Saved to Documents**, with the file's name. Tap **Open** to look at it. Downloads go to the default folder unless you chose another one in **Settings** → **Save Location**. On iPhone, that's InvoiceStamp's folder in the Files app (**On My iPhone** → **InvoiceStamp**). On Android, it's the phone's **Documents** folder, which your files app shows. A new download never replaces an older one: a second copy is saved as *InvoiceStamp-INV-0001 (1).pdf*. See [Change InvoiceStamp's settings](https://docs.invoicestamp.com/account/app-settings). Sharing doesn't use that folder: it always sends a temporary copy. ## How do I look at the PDF without sending it? In **Documents**, tap the document, then **View PDF**. The screen shows the document's details (type, number, client, total, issue and due dates) above the PDF, with **Share PDF** and a download button. If the document has no PDF yet, tap **Generate PDF**. Before you save, **Preview** in the editor shows the document as your client will see it. ## Does the PDF change when I edit my business or client? Yes. Each PDF is made from your current business details and your client's current details. If you change your address, or correct a client's name, the next PDF of any document shows the change, including documents you've sent before. Send the PDF again if your client needs the new version. ## What if the PDF won't share? | Message | What to do | | --- | --- | | The PDF is taking too long to render. Your document is saved — try sharing again in a moment. | Wait a moment, then tap **Share** again. | | We couldn't render this PDF. Try again, or switch to another design. | Tap **Share** again. If it fails again, choose another design on the **Design** card. | | Couldn't share the document. Try again. | Check your connection, then tap **Share** again. | | Save folder is no longer accessible | The folder you chose for downloads was moved or deleted. The PDF went to InvoiceStamp's own folder; pick a new one in **Settings** → **Save Location**. | See [Fix common problems in InvoiceStamp](https://docs.invoicestamp.com/account/troubleshooting) for more. ## Related guides - [Find and manage your documents](https://docs.invoicestamp.com/documents/manage-your-documents) - [Record a full or partial payment](https://docs.invoicestamp.com/payments/record-a-payment) # Add a signature, QR code, bank details and notes URL: https://docs.invoicestamp.com/documents/signature-qr-code-bank-details Last updated: 2026-10-21 At the bottom of the editor, **Additional Options** adds four extras to a document: your **Signature**, a payment **QR Code**, your **Bank Info** and **Notes & Terms**. Tap **+ Add** next to one and fill it in. Once added, each has a switch, so you can hide it on one document without deleting it. ## Where are the Additional Options? Scroll the editor down past the **Design** card. **Additional Options** opens by itself while none of the four is set up; tap its header to open or close it. Its subtitle counts what you've added, such as *2 of 4 added*. ![Additional Options opened with Signature, QR Code, Bank Info and Notes & Terms, each Not added with a + Add button](https://docs.invoicestamp.com/screenshots/editor-additional-options.webp) ![Additional Options showing 2 of 4 added: Signature added and QR active, each with its switch on](https://docs.invoicestamp.com/screenshots/editor-options-added.webp) | Row | Shows once added | Saved for | | --- | --- | --- | | **Signature** | Signature added | Every document: it's part of your business profile | | **QR Code** | QR active | This document, and new documents start with it | | **Bank Info** | Details added | Every document: it's part of your business profile | | **Notes & Terms** | Instructions added | This document, and new documents start with them | ## How do I add my signature? 1. Tap **+ Add** next to **Signature**. 2. Optionally type a **Label** to print under it, such as *Managing Director*. Without one, the PDF prints *Authorized Signature*. The label belongs to this document only. 3. Choose how to make the signature: - **Draw**: sign with your finger on **Draw your signature**, then tap **Save**. **Clear** starts again. - **Type**: type your name, and the app writes it in a handwriting font. - **Upload**: pick a picture of your signature, up to 1 MB. 4. Go back to the editor. The **Signature** row shows **Signature added**, with its switch on. ![The Signature screen with a Label field and Draw, Type and Upload buttons](https://docs.invoicestamp.com/screenshots/signature.webp) ![An invoice preview with the signature printed above Authorized Signature](https://docs.invoicestamp.com/screenshots/preview.webp) Your signature is saved to your business profile, so it's ready on every document: you only add it once. To change or remove it, use **Profile** → **Digital Signature**. **Remove signature** takes it off every document. See [Add your logo, brand color and signature](https://docs.invoicestamp.com/business-and-designs/logo-color-and-signature). ## How do I add a payment QR code? A QR code lets your client pay by scanning the invoice with their phone's camera. 1. Tap **+ Add** next to **QR Code**. **Payment QR Code** opens. 2. In **Link, message or IBAN**, type what the code should hold. A payment link works best, such as your PayPal.me address or a payment link from your bank or card provider. 3. Check the code under **Preview**, then go back. The row shows **QR active**. ![Payment QR Code with a link typed in, the label InvoiceStamp, and a preview of the QR code](https://docs.invoicestamp.com/screenshots/payment-qr-code.webp) The code holds exactly what you type. When scanned, a link opens in the client's browser, while an IBAN or a message shows as text for them to copy. The **Label** field appears with the preview in the app; the PDF prints the code itself. New documents start with the same QR code, so set it once. ## How do I add my bank details? 1. Tap **+ Add** next to **Bank Info**. **Bank Account** opens. 2. Under **Account Details**, fill in what your client needs to pay you: **Bank Name**, **Holder**, [**IBAN**](https://docs.invoicestamp.com/glossary#iban), [**SWIFT**](https://docs.invoicestamp.com/glossary#swift) and, if your bank gives you one, your [**RIB**](https://docs.invoicestamp.com/glossary#rib) (the account reference used in Morocco and France). 3. Go back to the editor. The row shows **Details added** once **Bank Name** is filled in. Your bank details are saved to your business profile and print as payment details on every document where the switch is on. Where they appear on the page depends on the design. **Activate PayPal** under **Online Payments** is marked **Coming Soon**: it isn't available yet. ## How do I add notes or payment terms? 1. Tap **+ Add** next to **Notes & Terms**. 2. Type a message for your client in **Additional Notes**, such as *Thank you for your business!*, and your conditions in [**Payment Terms**](https://docs.invoicestamp.com/glossary#payment-terms), such as *Please pay within 15 days*. 3. Go back to the editor. The row shows **Instructions added**. They print under **Notes** and **Terms** on the PDF. New documents start with the same text, which you can change on each one. The [due date](https://docs.invoicestamp.com/glossary#due-date) is set separately, in the editor's dates: see [Fill in a document, section by section](https://docs.invoicestamp.com/documents/fill-in-a-document). ## How do I hide one of them on a document? Turn its switch off in **Additional Options**. The row reads **Hidden on invoice**, and the PDF of this document leaves it out. Nothing is deleted: turn the switch back on to show it again. The switch only affects the document you're editing. ## Related guides - [Add your logo, brand color and signature](https://docs.invoicestamp.com/business-and-designs/logo-color-and-signature) - [Share an invoice PDF](https://docs.invoicestamp.com/documents/share-an-invoice-pdf) # Add tax and discounts URL: https://docs.invoicestamp.com/documents/tax-and-discounts Last updated: 2026-10-21 On the items screen, tap **Add Tax** to set a tax rate and **Add Discount** to take a percentage or an amount off. Both apply to every line on the document; open a line to give it its own rate or discount. [**Excl.**](https://docs.invoicestamp.com/glossary#tax-excluded-included) adds the tax on top of your prices, and **Incl.** means your prices already include it. ## How do I add tax? 1. In the editor, tap **Products & Services**, then **Add Tax** under the [subtotal](https://docs.invoicestamp.com/glossary#subtotal). 2. Type the rate, such as *20* for 20%. 3. Choose **Excl.** to add the tax on top of your prices, or **Incl.** if your prices already include it. The tax amount shows on the right, and [**Total due**](https://docs.invoicestamp.com/glossary#total-due) updates. ![The items screen with a Tax row set to 4 and Excl., a tax amount of 6.00 dollars, and a total due of 156.00 dollars with tax added on top](https://docs.invoicestamp.com/screenshots/items-list.webp) The rate and the **Excl.**/**Incl.** choice go on every line. To take the tax off, tap **✕** on the tax row. ## What's the difference between Excl. and Incl.? For a line priced at $100 with 20% tax: | | **Excl.** (tax added on top) | **Incl.** (prices include tax) | | --- | --- | --- | | Line amount | $100.00 | $100.00 | | Tax | +$20.00 | $16.67, inside the $100 | | Total due | $120.00 | $100.00 | | Under **Total due** | "tax added on top" | "prices include tax" | New custom lines start on **Incl.**, while saved products start on **Excl.** unless you set them otherwise, so check the switch when you add tax. ## How do I give one line a different tax rate? Tap the line to open its sheet, and change **Tax (%)**. The tax row on the items screen then reads **Mixed**, because your lines no longer share one rate. Typing a rate in the tax row again puts it back on every line. **Excl.** and **Incl.** always follow the tax row: a document can't mix the two. ## How do I add a discount? 1. On the items screen, tap **Add Discount**. 2. Type the discount, and choose **%** for a percentage or the currency symbol (**$**) for an amount. - A **percentage** comes off every line: 10% off takes 10% off each one. - An **amount** is shared out across the lines by their value. $30 off a $200 line and a $100 line takes $20 off the first and $10 off the second. To discount a single line, open it and tap **Add Discount** in its sheet. Discounts come off before tax is worked out. Tap **✕** on the discount row to remove the discount from every line. ## How is the total worked out? 1. Each line is its quantity times its [unit price](https://docs.invoicestamp.com/glossary#unit-price), less its discount (never below zero). 2. With **Excl.**, each line's tax is added on top. With **Incl.**, the tax is already inside the line's amount. 3. **Total due** is the lines added together, plus any tax added on top. **Subtotal** is the amount before discounts, without tax. The editor's header shows the same split, such as *150.00 $ net • +6.00 $ tax*. ## How does tax look on the PDF? Each line shows its rate, and the totals show the tax amount. The PDF calls the tax VAT with its rate, such as *VAT 4% (excluded)*, whatever name you type on the tax row. ![The invoice preview with Web Design at 150 dollars, an untaxed amount of 150.00, VAT 4% (excluded) of 6.00, a grand total of 156.00 and the total in words](https://docs.invoicestamp.com/screenshots/preview.webp) Designs that show the [total in words](https://docs.invoicestamp.com/glossary#total-in-words) print it in English, from the whole amount and the currency's name, such as *one hundred fifty-six Dollars*. Cents aren't written out. ## Can a product carry its own tax and discount? Yes. Under **Default tax & discount** on a saved product, set the discount and tax it usually carries: they're filled in whenever you add the product to a document, and you can still change them there. Adding a product with a tax or discount turns that row on for the document. On Android, and on earlier iOS versions, **+** is the raised button in the middle of the tab bar. ## Why does the + button show a pen? When the editor is holding a document you've worked on, the button turns into a pen on the other tabs. Tap it to go straight back to that document. Add your business details, pick or create the client, add what you're charging for, and choose a design. Tap **Save**: the button then turns into **Share**, which sends the invoice as a PDF through WhatsApp, Mail or any other app on your phone. This guide follows one invoice from start to finish: a $150 web design job for a new client, with 4% tax. ## How do I start a new invoice? 1. Tap the round **+** button at the right of the tab bar. **What are we making?** opens. 2. Tap **Invoice** (Get paid). The editor opens on a new invoice, showing the number it will get. ![The What are we making? menu, with Quotation, Invoice and Sale Order buttons and Client and Product shortcuts](https://docs.invoicestamp.com/screenshots/create-menu.webp) You can also tap **New Invoice** on the Home screen. **Quotation** and **Sale Order** open the same editor for those documents: see [Quotation, sale order or invoice](https://docs.invoicestamp.com/documents/quotation-sale-order-or-invoice). ## What is the tour that opens in the editor? The first time you open the editor, a six-step tour points at each part of it: your business, the client, products or services, the design, **Preview** and **Save**. Tap **Next** to move through it and **Done** to close it, or tap **✕** to skip. It shows once on each phone, and the steps below cover the same ground. ![Tour step 1 of 6, Start with your business info, pointing at the business card](https://docs.invoicestamp.com/screenshots/tour-1-business.webp) ![Tour step 2 of 6, Add who you're billing, pointing at the Your Client card marked Required](https://docs.invoicestamp.com/screenshots/tour-2-client.webp) ![Tour step 3 of 6, Add products or services, pointing at the Products & Services card](https://docs.invoicestamp.com/screenshots/tour-3-items.webp) ## How do I add my business details? The card with your logo and business name is what the invoice is **from**. It shows a green check once your business name is set, which the setup already did. Tap it to add the rest of what a client expects to see: your address, email, phone and tax IDs. They're saved to your business profile and printed on every document. See [Your business profile](https://docs.invoicestamp.com/business-and-designs/business-profile) and [Show your tax IDs on invoices](https://docs.invoicestamp.com/business-and-designs/show-your-tax-ids). ## How do I add the client? 1. Tap **Your Client** (Add "Bill to" info). **Choose a client** lists the clients you've saved; it's empty the first time. 2. Tap **New**. Fill in the client's **Name** (the only required field), and their **Email**, **Phone**, **Address**, **Country** and [**Tax ID**](https://docs.invoicestamp.com/glossary#tax-id) if you want them on the invoice. **Load from Contacts** fills the form from your phone's contacts. 3. Tap **Save client**. With no items yet, you can **Type a custom line** for a one-off charge, or tap **Add product** to use a saved product. 2. The first time, **Add products** is empty: tap **Add your first product**. Enter the **Description** (here, *Web Design*), an optional **Note**, the **Price** and the [**Unit**](https://docs.invoicestamp.com/glossary#uom). Under **Default tax & discount**, set the tax this product usually carries: *4* %, [**Excl.**](https://docs.invoicestamp.com/glossary#tax-excluded-included) (added on top of the price). 3. Tap **Save Product**. The top of the editor shows the invoice's total and its basics: - **Number**: InvoiceStamp numbers each invoice in turn (*INV-0001* here) and confirms the number when you save. Tap the pencil to change the prefix, the next number or the length: see [Change how documents are numbered](https://docs.invoicestamp.com/business-and-designs/document-numbering). - **Reference**: tap [**+ Reference**](https://docs.invoicestamp.com/glossary#reference) to add the client's purchase order or a contract number. - [**Issue date**](https://docs.invoicestamp.com/glossary#issue-date) and [**Due date**](https://docs.invoicestamp.com/glossary#due-date): today and 30 days later to start with. Tap either one to pick another day, or use a shortcut such as **Net 14**. - **Add Supply Date**: the date the work was done or the goods were delivered, when it differs from the issue date. - **Currency**: the pill under the total (**USD** here). Tap it to bill this invoice in another currency. ![The top of the invoice editor: 156.00 dollars total, USD, number INV-0001, issue date October 21 and due date November 20, 2026](https://docs.invoicestamp.com/screenshots/editor-top.webp) See [Fill in a document](https://docs.invoicestamp.com/documents/fill-in-a-document) and [Invoice a client in another currency](https://docs.invoicestamp.com/documents/invoice-in-another-currency). ## How do I choose how it looks? The **Design** card shows the invoice's design and its style, here **Indigo** in **Periwinkle**. Tap the card to change the style or [accent color](https://docs.invoicestamp.com/glossary#accent-color), or **Choose another design**. Tap **Color** to set your brand color. See [Choose a design](https://docs.invoicestamp.com/business-and-designs/choose-a-design). Under it, **Additional Options** adds a **Signature**, a payment **QR Code**, **Bank Info** and **Notes & Terms**. They're optional: see [Add a signature, QR code, bank details and notes](https://docs.invoicestamp.com/documents/signature-qr-code-bank-details). ![The Design card showing Indigo in Periwinkle with a Color button, and Additional Options collapsed](https://docs.invoicestamp.com/screenshots/editor-design.webp) ![Additional Options showing 2 of 4 added: Signature and QR Code switched on, Bank Info and Notes & Terms not added](https://docs.invoicestamp.com/screenshots/editor-options-added.webp) ## How do I preview and save the invoice? 1. Tap **Preview** to see the invoice exactly as your client will. Tap the page to see it full size. 2. Tap **Save Invoice** in the preview, or **Save** in the editor. ![The invoice preview: INV-0001 for John Doe, Web Design 150 dollars, VAT 4 percent excluded, grand total 156 dollars, with a signature, and a Save Invoice button](https://docs.invoicestamp.com/screenshots/preview.webp) Until the invoice has everything it needs, the buttons are dimmed and a hint above them says what's missing, such as **Add client details to continue** or **Give item 1 a price to continue**. Tap the button and the editor scrolls to that part. An invoice needs your business name, a client and at least one line with a name and a price. ## How do I send the invoice to my client? 1. Once the invoice is saved, the **Save** button reads **Share**. (If you change anything, it reads **Save** again until you save the change.) Tap **Share**. 2. **Preparing to share** shows while InvoiceStamp makes the PDF, usually for a few seconds. Then your phone's share sheet opens with *InvoiceStamp-INV-0001.pdf*. 3. Choose how to send it: WhatsApp, Mail, Messages, AirDrop, or **Save to Files** to keep a copy. ![The editor after saving, with the Save button now reading Share](https://docs.invoicestamp.com/screenshots/editor-share.webp) ![Preparing to share: Preparing your invoice, generating a PDF to share](https://docs.invoicestamp.com/screenshots/share-preparing.webp) > **InvoiceStamp doesn't email your client for you** > > The invoice goes out from the app you choose in the share sheet, from your own account. See [Share an invoice PDF](https://docs.invoicestamp.com/documents/share-an-invoice-pdf). ## What should I do when the client pays? Open the invoice in **Documents** and tap **Payment** to mark it paid, in full or in part. See [Record a payment](https://docs.invoicestamp.com/payments/record-a-payment). # Set up InvoiceStamp on your phone URL: https://docs.invoicestamp.com/getting-started/set-up-invoicestamp Last updated: 2026-10-21 The first time you open InvoiceStamp, a short setup gets you ready to invoice. You tell it who you invoice as, name your business, add a logo if you have one, pick a first design and sign in. Then you choose a plan: new subscribers get a free trial. Everything you enter is saved to your business profile. ## What does the setup ask for? 1. **Welcome.** Tap **Make my invoice**. If you already use InvoiceStamp on another phone, tap **I already have an account** instead and sign in: your business, clients and documents come back with your account. 2. **Who are you invoicing as?** Tap **Freelancer**, **Agency** or **Small business**. The choice only tailors the examples the setup shows you, and it stays on your phone. 3. **Name your business.** Type your business name (2 to 80 characters). This is the name printed on every document. - **Add your logo** is optional: pick a PNG or JPG, or skip it and add one later in **Profile**. - Your country and currency are filled in from your phone's region. To change them, tap the **Based in …** line under the form. Tap **Make my invoice** to continue. 4. **Meet your invoice.** Tap the cards to flip them: each shows your business on a different design (Corporate, Minimalist, Creative and Modern). Tap **Reveal my invoice**, then **Use** with the style you like. You can change design on any document later, from the full collection in the **Designs** tab. 5. **Save your brand.** Sign in with **Continue with Apple**, **Continue with Google** or **Use email instead**. Your account keeps your invoices, clients and logo backed up, so they come back on a new phone. See [Sign in and passwords](https://docs.invoicestamp.com/getting-started/sign-in-and-passwords) if you choose email. 6. **Choose your plan.** InvoiceStamp needs a subscription: tap **See plans**, pick **Yearly** or **Monthly** and confirm with the App Store or Google Play. If a free trial applies to you, the button reads **Start my 7-day free trial**. See [Your subscription](https://docs.invoicestamp.com/account/your-subscription). 7. **You're in.** Tap **Continue**. If the app asks about notifications, tap **Turn on notifications** or **Not now**: see [Notifications and emails](https://docs.invoicestamp.com/account/notifications-and-emails). > **You can stop and pick up later** > > If you close the app halfway, the setup reopens on the step you left. Nothing is sent to InvoiceStamp until you sign in. ## Where does my setup end up? After you sign in, the setup saves to your business profile: | You entered | Saved as | | --- | --- | | Business name and logo | Your business details, printed at the top of each document | | Country and currency | Your business country, and the currency your documents start in (see [Default currency](https://docs.invoicestamp.com/business-and-designs/default-currency)) | | The design you chose | The design new documents start with | Your brand color is taken from your logo, or set to InvoiceStamp's indigo if you skipped the logo. To change any of these later, see [Your business profile](https://docs.invoicestamp.com/business-and-designs/business-profile). ## What comes next? The editor shows a six-step tour the first time you open it. Follow [Make your first invoice](https://docs.invoicestamp.com/getting-started/make-your-first-invoice) alongside it. # Sign in, verify your email and reset a password URL: https://docs.invoicestamp.com/getting-started/sign-in-and-passwords Last updated: 2026-10-21 You can sign in to InvoiceStamp with **Continue with Apple**, **Continue with Google** or an email and password. An email account has to be verified before you can use it: InvoiceStamp sends the link as soon as you create the account. If you forget your password, tap **Forgot password?** under the password field. ## How do I create an account with email? 1. On the sign-in screen, tap **Use email instead** if the email fields aren't showing, then tap **New here? Create an account**. 2. Enter your **Email**, a **Password** of at least 6 characters, and the same password again in **Confirm password**. Tap **Create account**. 3. The screen changes to **Check your inbox**, with your address under it. Open the verification email on your phone and tap the link inside. 4. Come back to the app. It notices the verification on its own within a few seconds; you can also tap **I've verified my email**. > **The email hasn't arrived?** > > It can take a minute. Check your spam folder, then tap **Resend email** (it's available again 60 seconds after each send). If the address is wrong, tap **Use a different email**. If you tap **I've verified my email** before opening the link, the app answers "Not verified yet. Tap the link in the email first, then try again." ## Why do I need to verify my email? InvoiceStamp only creates an account for a verified address, so nobody can sign up with an email that isn't theirs. Until you verify, signing in sends a fresh link and shows **Check your inbox** again. Accounts made with Apple or Google are verified already. ## How do I reset my password? 1. On the sign-in screen, type your email address in the **Email** field. 2. Tap **Forgot password?** under the password field. 3. The app confirms: "If an account exists for your address, a reset link is on its way." Open the email, choose a new password, then sign in with it. If the **Email** field is empty, the app asks you to enter your email first. Accounts made with Apple or Google have no InvoiceStamp password: sign in with the same button you used before. ## What do the sign-in messages mean? | Message | What to do | | --- | --- | | Incorrect email or password. | Check the address, or [reset your password](https://docs.invoicestamp.com/getting-started/sign-in-and-passwords#how-do-i-reset-my-password). | | An account already exists with that email. Try signing in instead. | You already have an account: sign in rather than create one. | | An account already exists with that email under a different sign-in method. | You signed up with Apple or Google: use that button. | | Please verify your email address before signing in. | Open the verification email and tap its link. | | Too many attempts. Please wait a moment and try again. | Wait a few minutes before trying again. | | Network problem. Check your connection and try again. | InvoiceStamp needs an internet connection to sign in. | ## Why was I signed out? A subscription covers up to **3 devices** at a time. Signing in on a fourth signs out the one you used least recently: it shows **Signed out on this device**, and your account gets a "New sign-in detected" notification. Tap **Sign in again** to use that device, which signs out another one in turn. You can also sign out yourself: **Profile** → **Sign out** → **Sign Out**. Your documents stay in your account, ready when you sign back in. ## Related guides - [Set up InvoiceStamp on your phone](https://docs.invoicestamp.com/getting-started/set-up-invoicestamp) - [Your subscription](https://docs.invoicestamp.com/account/your-subscription) - [Delete your account](https://docs.invoicestamp.com/account/delete-your-account) # Glossary of invoicing terms URL: https://docs.invoicestamp.com/glossary Last updated: 2026-10-21 The words an invoice uses, in plain English, and where each one appears in InvoiceStamp. In the guides, a term underlined with dots links here: hover over it or tap it to read its definition without leaving the page. ## Accent color The main color of a design, used for its headings, totals and lines. In InvoiceStamp, pick it on a design's preview under **Accent color**, or set your own brand color with **Color** on the editor's **Design** card. The first swatch, split in two, keeps the design's own colors. See [Choose a design and color](https://docs.invoicestamp.com/business-and-designs/choose-a-design). ## Currency code The three-letter code for a currency, from the ISO 4217 standard: USD for the US dollar, EUR for the euro, GBP for the pound, MAD for the Moroccan dirham. The currency pill in the editor shows the document's code. See [Invoice a client in another currency](https://docs.invoicestamp.com/documents/invoice-in-another-currency). ## Discount An amount taken off a price, either as a percentage (10% off) or as a fixed amount (20 off). In InvoiceStamp, discounts sit on line items. **Add Discount** under the subtotal applies one to every line: a fixed amount is shared between the lines in proportion to their value. See [Add tax and discounts](https://docs.invoicestamp.com/documents/tax-and-discounts). ## Document number The unique number that identifies a quotation, sale order or invoice, such as INV-0001. It's made of a prefix, a counter and an optional suffix. Each document type has its own counter, starting at QUO-0001, SO-0001 and INV-0001. A number is never used twice, even after its document is deleted. See [Change how documents are numbered](https://docs.invoicestamp.com/business-and-designs/document-numbering). ## Due date The date by which the client should pay an invoice. On a quotation, you can use it as the date your offer ends. In InvoiceStamp, a new document is due 30 days after its issue date. Shortcuts such as **Net 14** set it for you. See [Fill in a document, section by section](https://docs.invoicestamp.com/documents/fill-in-a-document#how-do-i-set-the-issue-and-due-dates). ## Exchange rate What one currency is worth in another, such as 1 euro = 1.08 US dollars. InvoiceStamp doesn't use exchange rates: changing a document's currency keeps the amounts you typed. See [Invoice a client in another currency](https://docs.invoicestamp.com/documents/invoice-in-another-currency). ## IBAN International Bank Account Number: a code of up to 34 letters and digits that identifies a bank account for transfers, used across Europe, the Middle East and many other countries. Add yours under **Bank Info** so clients can pay you by transfer. See [Add a signature, QR code, bank details and notes](https://docs.invoicestamp.com/documents/signature-qr-code-bank-details#how-do-i-add-my-bank-details). ## Invoice A document asking a client to pay for goods or services you've delivered: what they owe, and by when. In InvoiceStamp, invoices are numbered INV-0001 and up, and they're the only documents you record payments on. See [Quotation, sale order or invoice](https://docs.invoicestamp.com/documents/quotation-sale-order-or-invoice). ## Issue date The date a document is made out. On an invoice, it's the invoice's own date. In InvoiceStamp, a new document is dated today. Tap **Issue date** in the editor to change it. ## Legal identifier A registration number, other than a tax ID, that some countries require on invoices, such as SIRET in France, ICE in Morocco or EORI for customs in Europe. InvoiceStamp offers 20 types under **Additional Details** → **Add Legal Identifier**, for your business and for each client. See [Show your tax IDs on invoices](https://docs.invoicestamp.com/business-and-designs/show-your-tax-ids). ## Line item One row of a document: a product or service with its quantity, unit, unit price, and any discount and tax. Add them on the **Products & Services** screen, from your saved products or as one-off **Custom** lines. See [Add line items to a document](https://docs.invoicestamp.com/documents/add-line-items). ## Overdue An invoice that isn't fully paid by its due date. InvoiceStamp shows **Overdue** on the invoice in your lists from the day after its due date. See [Record a full or partial payment](https://docs.invoicestamp.com/payments/record-a-payment#what-do-unpaid-partial-paid-and-overdue-mean). ## Partial payment A payment for part of an invoice's total, with the rest still to come. In InvoiceStamp, record one with **Pay partially**: the invoice shows **Partial** and the amount still due. See [Record a full or partial payment](https://docs.invoicestamp.com/payments/record-a-payment#how-do-i-record-a-partial-payment). ## Payment QR code A QR code printed on a document that holds a payment link or bank details. Your client scans it with their phone's camera to pay. Add one under **Additional Options** → **QR Code**. See [Add a signature, QR code, bank details and notes](https://docs.invoicestamp.com/documents/signature-qr-code-bank-details#how-do-i-add-a-payment-qr-code). ## Payment terms The conditions for paying an invoice: when it's due, and how. "Net 30" means the full amount is due 30 days after the issue date. In InvoiceStamp, **Net 7**, **Net 14**, **Net 30** and **Net 60** are due-date shortcuts. Write any other conditions under **Notes & Terms** → **Payment Terms**. ## Quotation A document that tells a client what a job would cost, before they agree to it. Also called a quote or an estimate. In InvoiceStamp, quotations are numbered QUO-0001 and up. See [Quotation, sale order or invoice](https://docs.invoicestamp.com/documents/quotation-sale-order-or-invoice). ## Reference An outside number that ties a document to something else, such as the client's purchase order (PO) number, a contract number or a job number. Add it with **+ Reference** at the top of the editor; it prints on the PDF. ## RIB Relevé d'identité bancaire: the bank account details used for transfers in Morocco and France. In Morocco, it's the 24-digit account number. Add it under **Bank Info** with your other bank details. ## Sale order A document confirming what a client has ordered and its price, sent after they accept and before you deliver. In InvoiceStamp, sale orders are numbered SO-0001 and up. See [Quotation, sale order or invoice](https://docs.invoicestamp.com/documents/quotation-sale-order-or-invoice). ## Section A heading row between line items, such as Design or Development, that groups the lines under it. It has no price. Add one with **Section** on the **Products & Services** screen. See [Add line items to a document](https://docs.invoicestamp.com/documents/add-line-items). ## Subtotal The amount of a document's lines before discounts and without tax. You'll find it on the **Products & Services** screen, above **Add Discount** and the tax row. ## Supply date The date the goods were delivered or the work was done, also called the tax point or the time of supply. Some VAT rules require it when it differs from the issue date. Add it with **+ Add Supply Date** in the editor. See [Fill in a document, section by section](https://docs.invoicestamp.com/documents/fill-in-a-document#what-is-the-supply-date). ## SWIFT / BIC The code that identifies a bank in international transfers, 8 or 11 letters and digits long. SWIFT code and BIC (Bank Identifier Code) are two names for the same thing. Add it under **Bank Info**, in the **SWIFT** field. ## Tax excluded and tax included Two ways to state a price. Tax excluded (**Excl.**): the tax is added on top, so 100 with 20% tax comes to 120. Tax included (**Incl.**): the price already contains the tax, so 120 is 100 plus 20 of tax. Set it on the tax row of the **Products & Services** screen, and as a default on each saved product. See [Add tax and discounts](https://docs.invoicestamp.com/documents/tax-and-discounts). ## Tax ID The number a tax authority gives a business or a person to identify them for tax, such as an EIN in the United States or a VAT number in Europe. Invoices usually show yours, and your client's when they're a business. In InvoiceStamp, **Tax ID** is a field in your business details and on each client. See [Show your tax IDs on invoices](https://docs.invoicestamp.com/business-and-designs/show-your-tax-ids). ## Total due The amount the client has to pay: every line after discounts, plus the tax added on top. InvoiceStamp shows it as **Total due** on the **Products & Services** screen, and as the big total at the top of the editor. ## Total in words The total written out in words as well as in figures, which some countries expect on invoices. Designs that show it print it in English from the whole amount and the currency's name, such as *one hundred fifty-six Dollars*. Cents aren't written out. ## Trading name The name a business trades under, which can differ from its registered legal name. In InvoiceStamp, **Trading Name** is the business name printed at the top of your documents. See [Edit your business profile](https://docs.invoicestamp.com/business-and-designs/business-profile). ## Unit of measure (UOM) What a line's quantity counts: pieces, hours, days, kilograms, square meters. Also written UOM. InvoiceStamp has 25 built-in units, such as Piece, Hour and Square Metre, and **Custom…** in the unit list lets you type your own. Most print as a short symbol, such as *pc* or *h*. See [Add line items to a document](https://docs.invoicestamp.com/documents/add-line-items). ## Unit price The price of one unit of a line item: one hour, one piece, one day. The line's amount is the unit price times the quantity, less any discount. Set it as **Unit Price** on a line, or as **Price** on a saved product, in the document's currency. ## VAT Value-added tax: a tax on sales, collected at each step from producer to buyer. It's called TVA in French and IVA in Spanish, and similar taxes go by GST or sales tax. On InvoiceStamp PDFs, each line's tax prints as VAT with its rate, such as *VAT 4%*. See [Add tax and discounts](https://docs.invoicestamp.com/documents/tax-and-discounts). # Read your totals on the Home screen URL: https://docs.invoicestamp.com/payments/home-screen-totals Last updated: 2026-10-21 The card at the top of Home adds up the documents you've saved. By default it shows the total of this month's invoices. Tap the first pill to choose which documents it counts, and the second to choose the period. It shows what you billed, in each currency, not what your clients have paid so far. ![The Home screen: a greeting, a Total Invoiced card for This Month, the New Invoice, New Product, New Client and Documents buttons, a banner and Recent Documents](https://docs.invoicestamp.com/screenshots/home-empty.webp) ## What's at the top of Home? - **The greeting**: good morning, afternoon or evening, with your name. - **The bell** opens your **Notifications**. A red badge counts the ones you haven't read. See [Notifications and emails](https://docs.invoicestamp.com/account/notifications-and-emails). - **Your picture or initials**: it's not a button. Your account and settings are in the **Profile** tab. ## How do I change what the card adds up? 1. Tap the first pill (**Total Invoiced** at first) and choose the documents to count. 2. Tap the second pill (**This Month** at first) and choose the period. | In the list | It counts | The card reads | | --- | --- | --- | | **All Documents** | Invoices, quotes & orders | **Total Amount** | | **Quotations** | Your quotations | **Total Quoted** | | **Sale Orders** | Your sale orders | **Total Sale Orders** | | **Invoices** | Your invoices | **Total Invoiced** | | Period | From | | --- | --- | | **This Week** | Monday of this week | | **This Month** | The 1st of this month | | **This Quarter** | The 1st of January, April, July or October | | **This Year** | January 1st | | **All Time** | Your first document | Your choice stays as you left it the next time you open Home on this phone. ## How are the totals worked out? - **By [issue date](https://docs.invoicestamp.com/glossary#issue-date).** A document counts when its issue date falls in the period. A period has a start but no end, so a document dated in the future, even next month, already counts in **This Month**. - **Whatever the payment.** Every saved document of the chosen type counts, paid or not. **Total Invoiced** is what you billed, not what you received. To see what's still owed, open **Documents** → **Invoice** → **Unpaid** (see [Record a payment](https://docs.invoicestamp.com/payments/record-a-payment)). - **One total per currency.** Amounts in different currencies are never converted or added together. The big number is in your main currency; totals in other currencies are listed under it. - **The count** under the total, such as *3 Invoices*, includes documents in every currency. The card updates each time you open Home or come back to the app. ## Where does "Tap to view history" go? The lower part of the card opens the **Documents** tab, listing every document you've saved. See [Find and manage your documents](https://docs.invoicestamp.com/documents/manage-your-documents). ## What do the four buttons under the card do? | Button | Opens | | --- | --- | | **New Invoice** | A blank invoice in the editor | | **New Product** | Your products and services, with a new product form open | | **New Client** | Your clients, with a new client form open | | **Documents** | The list of every document you've saved | If the editor holds a document with changes you haven't saved, **New Invoice** asks first: **Clear and start new** discards them, **Keep editing** takes you back to them. Under the buttons, a banner shows what's new in InvoiceStamp, such as new designs. Tap it to see more. ## What's in Recent Documents? The five most recent documents, by their date. Tap one to open its sheet in **Documents**, where you can record a payment, edit, share or download it. Swipe one left to **Pay** or **Share** it straight away. **View all** opens the full list. > **The documents you see before your first save are examples** > > Until you save a document, Recent Documents shows three faded sample rows (INV-001 for Acme Corp, INV-002 for Globex Inc, INV-003 for Initech) behind a **Create invoice** button. They aren't your data and can't be opened. They disappear once you save your first document. ## Related guides - [Find your way around the app](https://docs.invoicestamp.com/getting-started/find-your-way-around) - [Record a full or partial payment](https://docs.invoicestamp.com/payments/record-a-payment) - [Invoice a client in another currency](https://docs.invoicestamp.com/documents/invoice-in-another-currency) # Payments and totals URL: https://docs.invoicestamp.com/payments Last updated: 2026-10-21 InvoiceStamp keeps track of what each invoice has been paid. When a client pays, you record it on the invoice: in full, or one part at a time. The invoice then shows Unpaid, Partial or Paid. The Home screen adds up what you've billed over a week, a month, a quarter or a year. - [Record a payment](https://docs.invoicestamp.com/payments/record-a-payment): Mark an invoice paid or partly paid, note how you were paid, and undo a payment. - [Read your totals on Home](https://docs.invoicestamp.com/payments/home-screen-totals): What the Home card adds up, how to change it, and what Recent Documents shows. # Record a full or partial payment URL: https://docs.invoicestamp.com/payments/record-a-payment Last updated: 2026-10-21 When a client pays, open the invoice's **Payment** sheet and tap **Mark as fully paid**, or **Pay partially** for part of the amount. Choose how you were paid if you like, then confirm. The invoice changes to **Paid** or **Partial**. InvoiceStamp keeps a record of payments: it doesn't collect money from your clients. ## How do I open the Payment sheet? From the **Documents** tab, either: - swipe left on an invoice that isn't fully paid and tap **Pay**, or - tap the invoice, then tap **Payment** in its sheet. The row shows what's still due, such as *156.00 $ due*, or **Paid** once it's settled. Invoices on Home's **Recent Documents** list open the same sheet, and can be swiped the same way. ![The sheet for invoice INV-0001, 156.00 dollars for John Doe, with a Payment row showing 156.00 dollars due above Edit, Share, Download PDF, View PDF and Delete](https://docs.invoicestamp.com/screenshots/document-detail.webp) Only invoices take payments. Quotations and sale orders have no **Payment** row. ## How do I mark an invoice as fully paid? 1. The **Payment** sheet shows what's been paid against the total (**Paid** *0.00 $ / 156.00 $*) and what's **Due**. Tap **Mark as fully paid**: the amount on the right is the balance still due. 2. If you want, choose how you were paid: **Cash**, **Transfer**, **Card**, **Cheque** or **Other**. Tap the same chip again to unselect it. 3. To keep a reminder of the payment, tap **Add note** and type it, such as where or how it was settled. 4. Tap **Mark as Paid**. The sheet closes and the invoice shows **Paid**. ![The Payment sheet for an unpaid invoice: paid 0.00 of 156.00 dollars, 156.00 due, with Mark as fully paid and Pay partially](https://docs.invoicestamp.com/screenshots/payment-sheet.webp) ![Mark as fully paid opened, with Cash selected among Cash, Transfer, Card, Cheque and Other, a note, and a Mark as Paid button](https://docs.invoicestamp.com/screenshots/payment-mark-paid.webp) ![The Documents list with invoice INV-0001 for John Doe now showing a green Paid pill](https://docs.invoicestamp.com/screenshots/documents-paid.webp) ## How do I record a partial payment? 1. In the **Payment** sheet, tap **Pay partially**. The amount starts filled in with the balance due. 2. Type the amount you received. A comma or a point both work for cents (*12,50* or *12.50*). An amount above the balance turns red with "Can't exceed the amount due." 3. Choose how you were paid and add a note, if you want. 4. Tap **Add payment**. The invoice shows **Partial**, and **Due** shows what's left. Record each instalment the same way. When the payments add up to the total, the invoice changes to **Paid**. ## What date does a payment get? The day you record it: there's no date to pick. Record each payment on the day you receive it, so the history matches your bank statements. ## How do I see the payments on an invoice? Once an invoice has a payment, the **Payment** sheet lists them under **Payment history**: the amount, the date, your note and the method for each one. ## How do I undo a payment? 1. Open the invoice's **Payment** sheet and find the payment under **Payment history**. 2. Tap **Refund**. The app asks **Refund this payment?** and explains: "This reverses the payment. The record stays in your history, marked refunded — it is never deleted." 3. Tap **Refund payment**. The payment shows as **Refunded** and no longer counts toward what's been paid. To reverse every payment on the invoice at once, tap **Mark unpaid** and confirm with **Mark unpaid**. The invoice goes back to **Unpaid**, and the payments stay in its history, marked refunded. > **A refund here doesn't move any money** > > **Refund** and **Mark unpaid** correct InvoiceStamp's record. If you're giving money back to a client, do that through your bank or payment service. ## What do Unpaid, Partial, Paid and Overdue mean? InvoiceStamp works out an invoice's status from the payments recorded on it. Refunded payments don't count. | Status | When | | --- | --- | | **Unpaid** | Nothing has been paid yet, or every payment was refunded. | | **Partial** | Part of the total is paid. In the Documents list, the pill shows the amount still due instead, such as *50.00 $ due*. | | **Paid** | The payments add up to the total. | | [**Overdue**](https://docs.invoicestamp.com/glossary#overdue) | The [due date](https://docs.invoicestamp.com/glossary#due-date) has passed and the invoice isn't fully paid. The due day itself isn't overdue yet. | **Overdue** only shows in lists: an unpaid invoice gets a red **Overdue** pill, and a partly paid one shows its amount due in red. InvoiceStamp doesn't send reminders to your client. To list only some invoices, open **Documents**, tap **Invoice**, then **Unpaid**, **Partial** or **Paid**. See [Find and manage your documents](https://docs.invoicestamp.com/documents/manage-your-documents). ## What happens if I change an invoice after it's paid? InvoiceStamp recalculates the status from the payments already recorded: - **You raise the total**, by adding a line or tax: a **Paid** invoice becomes **Partial**, with the difference due. - **You lower the total** below what was paid: the invoice stays **Paid** with nothing due. InvoiceStamp doesn't record the overpayment as a credit, so settle any difference with your client directly. Payments are recorded in the invoice's currency. Changing the invoice's currency afterwards doesn't convert them. ## Can clients pay me through InvoiceStamp? No. InvoiceStamp records payments you've received; it doesn't take card payments or move money. To make paying easy, add your bank details or a [payment QR code](https://docs.invoicestamp.com/glossary#payment-qr-code) to your invoices: see [Add a signature, QR code, bank details and notes](https://docs.invoicestamp.com/documents/signature-qr-code-bank-details). ## Related guides - [Read your totals on the Home screen](https://docs.invoicestamp.com/payments/home-screen-totals) - [Share an invoice PDF](https://docs.invoicestamp.com/documents/share-an-invoice-pdf)
